This is a fully remote position, open to applicants in United States, +3 more locations.
• Gather and assess project deadlines, milestones, and deliverables within functional areas.
• Evaluate project health and provide summaries comparing progress against milestones set by rights-holders and functional areas.
• Ensure all parties adhere to project requirements, schedules, and deadlines.
• Identify risks or delays that need attention or escalation to executive leadership.
• Organize client-facing meetings, reporting, and project deliverables in collaboration with partners and internal teams.
• Compile status reports by collecting, analyzing, and summarizing pertinent information.
• Create and maintain project communication plans, ensuring they are effectively executed.
• Facilitate change requests and communicate any impacts on schedules, partners, and finances.
• Act as the central source of information and support for the team.
• Assist in strategic growth initiatives from inception to completion with both internal stakeholders and external clients.
• Define project concepts, processes, expectations, scope, plans, and task assignments.
• Build, oversee, and train teams on project management systems and tools.
• Enhance cross-team alignment, integrate functions, and streamline processes.
• Mentor teams and leaders to foster improved efficiency.
• Establish operational accountability through checklists and quality assurance tests.
• Uphold best practices in data management across systems.
• Track project progress and set appropriate deadlines.
• Anticipate client-side delays and communicate evolving client needs.
• Predict and resolve project-related issues.
• A bachelor's or master's degree in Event or Project Management.
• Demonstrated experience in event operations, event product development, project management, and project management tools.
• Strong problem-solving skills, creative solutions, and effective communication abilities.
• Excellent planning skills with the ability to foresee potential scenarios and manage various outcomes.
• Capability to thrive in a fast-paced environment across multiple time zones.
• Proficiency in prioritizing projects and deliverables as demands evolve.
• Experience in training and the ability to simplify complex projects for better understanding.
• Ability to lead project teams of varying sizes to successful completion.
• Solid understanding of formal project management methodologies.
• Experience managing large-scale projects.
• Commitment to completing projects within specified timelines.
• Familiarity with project management systems, such as Airtable and Smartsheet.
• Proficient in PowerPoint.
• Experience in event management.
• Experience with internal and external client relations.
• Strong planning and coordination skills.
