This is a fully remote position, open to applicants in Poland.
• Ensure the precise and prompt processing of monthly payroll by either directing external payroll partners or directly inputting data into external payroll systems (Mepco).
• Analyze system-generated test reports to verify that accurate processes are completed and rectify any discrepancies.
• Make payments to tax and social insurance authorities as well as benefit providers, and complete and submit any necessary regulatory documentation.
• Serve as the primary contact for payroll inquiries for assigned entities, providing exceptional service to our internal customers.
• Maintain data integrity between Workday and the payroll system.
• Carry out activities to establish and uphold employee payroll and benefits records (salaries, variable schemes, employee shares, health and other insurance policies, pension schemes, etc.) in compliance with legal requirements and company policies.
• Engage in the design and testing of internal controls (SOX).
• Conduct both ad-hoc and recurring payroll data reporting.
• Take ownership of the establishment and ongoing updates of the Finnish Payroll Playbook as the central process repository.
• Actively contribute to payroll process enhancement initiatives and the development of payroll best practices.
• Document and review all non-system work practices and operational guidelines pertaining to assigned payrolls.
• Assist in creating a robust backup structure within the European payroll function and provide assistance for other payroll team members during their absences.
• Offer training, onboarding, and mentoring support to other Payroll Specialists.
• Foster strong relationships with our Country HR teams to facilitate the smooth exchange of payroll-related information.
• Collaborate closely with our Finance teams on payroll account reconciliations.
• Work closely with our external providers.
• Stay informed about payroll practices and regulations relevant to the assigned entities.
• Represent the function during internal and external audits.
• At least 2-3 years of relevant payroll experience covering Finnish entities across various sectors, including CBA-driven payroll.
• Strong service-oriented mindset, comfortable responding to payroll inquiries from employees, managers, business unit controllers, vendors, and government agencies, both in writing and verbally.
• Comprehensive understanding of payroll calculations, accounting, taxation, and finance concepts as they relate to payroll in Finland.
• Proven ability to develop and sustain effective ongoing relationships at all organizational levels, including executives, line operations, and peers, with experience in a global matrix environment.
• Background in managing external payroll platforms and vendor relationships.
• Proficient in using Workday as a central HRIS platform.
• Enthusiastic about Payroll and committed to data accuracy.
• Capable of identifying and resolving complex issues utilizing existing policies and procedures.
• Excellent English communication skills (both written and verbal) and strong interpersonal skills.
• Proficient in Excel.
