This is a fully remote position, open to applicants in Latin America.
• Take charge of both regular and off-cycle payroll processing in Rippling for the U.S.
• Confirm new hires, terminations, changes in compensation, bonuses, deductions, reimbursements, and other payroll inputs.
• Oversee and reconcile payments for contractors.
• Coordinate payroll and bonus distributions for employees associated with EOR partners.
• Validate payroll calculations from EOR and reconcile invoices and statements with internal records.
• Manage payroll requirements across multiple states, including tax withholding, final payments, state registrations, tax notices, filings, and reconciliations.
• Handle deductions for benefits, garnishments, retirement contributions, and other payroll deductions.
• Ensure accurate payroll and employee data is maintained in Rippling while troubleshooting configurations, reports, workflows, and records.
• Investigate payroll discrepancies, identify underlying issues, and ensure resolution.
• Act as the main point of contact for employee inquiries related to payroll.
• Assist with payroll audits, census requests, and reviews for benefits or insurance.
• Oversee year-end payroll tasks, including W-2/1099 processing, annual reconciliations, and related tax obligations.
• Maintain payroll standard operating procedures (SOPs) and controls, while identifying areas for enhancing accuracy, efficiency, and audit preparedness.
• Collaborate with Finance, HR, Accounting, employees, and external payroll partners.
• Report directly to the VP of Finance as part of the Finance team.
• A minimum of 5 years of payroll experience, including at least 3 years of direct administration of U.S. payroll.
• Practical experience in processing payroll using Rippling.
• Experience in managing multi-state U.S. payroll; familiarity with California and/or New York is highly preferred.
• Comprehensive knowledge of U.S. payroll taxes, wage deductions, federal and state regulations, final pay, and off-cycle payroll.
• Proven ability to independently investigate and resolve payroll discrepancies.
• Proficient in Excel or Google Sheets, particularly for reconciliations and payroll reporting.
• Strong numerical reasoning skills and a keen attention to detail.
• Professional fluency in both spoken and written English.
• Excellent communication and customer service skills when addressing sensitive employee payroll inquiries.
• Ability to work autonomously, meet recurring deadlines, and take initiative in a fast-paced setting.
• Must maintain at least 5 hours of daily overlap with U.S. Pacific Time business hours.
