This is a fully remote position, open to applicants in United States.
• Take charge of the complete payroll processing cycle for all company entities, serving as the main payroll processor and systems administrator.
• Perform biweekly payroll processing for both on-cycle and off-cycle runs from start to finish.
• Prepare and verify payroll inputs, which include new hires, terminations, bonuses, retroactive adjustments, and one-time payments.
• Handle exceptions, manual overrides, system computations, and maintain documented audit trails.
• Deliver audit packages following the Preparer > Reviewer > Approver control framework.
• Examine pay results, preview reports, and exception outputs prior to submission.
• Maintain configurations for earnings and deductions across all pay groups.
• Validate paycheck-level taxation across multiple state jurisdictions and keep track of withholding activities.
• Process garnishments, levies, and involuntary deductions efficiently.
• Assist in quarterly and year-end tax reconciliation and filing validation.
• Investigate multi-state tax requirements, wage and hour regulations, and withholding rules.
• Handle equity transactions and supplemental withholding; keep equity-to-payroll audit logs updated.
• Monitor payroll system settings, workflow automations, and configurations; identify errors and suggest improvements.
• Create ad hoc reports and monitor accuracy and efficiency KPIs.
• Support GL reconciliation and payroll-to-finance reporting efforts.
• Maintain payroll master data, audit trails, records, SOPs, checklists, and playbooks.
• Act as a Tier I and Tier II escalation point for employee payroll inquiries.
• Collaborate effectively with HR, Finance, People Operations, Legal, Stock Administration, and Finance partners.
• Represent payroll operations in cross-functional meetings and audit reviews.
• A minimum of 5 years of payroll operations experience with direct processing responsibility in a multi-state environment.
• Advanced technical skills with HRIS and payroll systems.
• Strong analytical and data validation abilities, demonstrating accuracy in high-volume settings.
• Familiarity with wage and hour laws, pay computation, and multi-state tax compliance.
• Proficient in Excel or Google Sheets; experience with macros or query tools is a bonus.
• Exceptional attention to detail, confidentiality, and time management skills in a fast-paced environment.
• Previous experience with Rippling or a similar enterprise payroll platform.
• Knowledge of equity transaction processing and payroll tax administration for equity-based compensation.
• Experience in healthcare, startups, or rapidly growing multi-entity environments is preferred.
• Must have authorization to work in the United States without current or future sponsorship requirements.
