This is a fully remote position, open to applicants in Virginia.

📋 Description

• Assist in the semi-monthly payroll cycle, from the collection of timecards to the final processing and reporting of payroll.

• Execute payroll processing using ADP and Deltek Costpoint systems.

• Review payroll inputs, registers, and exception reports to ensure accuracy and resolve discrepancies.

• Validate various payroll transactions including hours worked, overtime, PTO, holiday pay, bonuses, deductions, and reimbursements.

• Handle payroll adjustments, corrections, retroactive payments, off-cycle payments, and other special payroll transactions.

• Reconcile payroll-related accounts and reports across ADP, Costpoint, the general ledger, and other systems.

• Oversee timekeeping and timecard procedures, ensuring accurate allocation of projects, contracts, cost centers, and charge codes.

• Address issues related to missing, incorrect, or late timecards and monitor timekeeping exceptions effectively.

• Collaborate with Program Finance, Accounting, Contracts, managers, employees, and HR regarding payroll and timekeeping matters.

• Create and maintain employee payroll records in ADP, Costpoint, and associated systems.

• Facilitate payroll and timekeeping onboarding, training, employee changes, and provide guidance for self-service.

• Ensure adherence to federal, state, and local payroll tax regulations.

• Review tax filings, deposits, reports, notices, and address employee tax inquiries.

• Assist with year-end payroll activities, such as W-2 preparation, tax reporting, reconciliations, and responding to employee inquiries.

• Update and maintain payroll policies, procedures, calendars, deadlines, and documentation related to processes.

• Safeguard confidential payroll and tax records, ensuring proper retention and security measures are in place.

• Adhere to internal controls and assist with internal and external audits, along with corrective actions as necessary.

• Support compliance with DCAA, CAS, and government contracting regulations concerning labor charging, timekeeping, and payroll.


⛳️ Requirements

• Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field is preferred.

• A minimum of 5 years of payroll experience, particularly in a multi-state payroll environment.

• Experience in managing a semi-monthly payroll process is essential.

• Proficiency in using ADP and Deltek Costpoint or similar payroll/ERP systems.

• Strong understanding of federal, state, and local payroll tax requirements.

• Familiarity with timekeeping, timecard reviews, payroll reconciliations, and payroll controls.

• Solid grasp of payroll accounting and general ledger reconciliation.

• Advanced Excel and data-analysis capabilities are required.

• Excellent organizational, analytical, and problem-solving skills.

• High level of confidentiality and integrity in managing employee compensation and personal information.

• Experience with government contractors, defense contractors, aerospace companies, or similarly regulated organizations is preferred.

• Knowledge of Deltek Costpoint Time & Expense and Payroll is a plus.

• An understanding of government contracting timekeeping and labor-charging requirements is preferred.

• Experience with DCAA, DCMA, or other government audits is desirable.

• Familiarity with supporting internal and external audits is advantageous.

• CPP (Certified Payroll Professional) or FPC certification is preferred.

• Experience in multi-state payroll and complex organizational structures is beneficial.

• Knowledge of payroll system implementations, upgrades, or integrations is a plus.

• Proven ability to enhance payroll processes through automation and workflow optimization is preferred.

• Successful completion of a thorough background check, security investigation, and drug screening is required.
