
Senior Meeting Planner, Live Meeting/Pharma Agency Experience Required

This is a fully remote position, open to applicants in New York.
• Independently organize and manage small meetings and events with a maximum of 50 participants.
• Oversee logistics for both live and virtual events, encompassing venue selection, contract negotiations, travel arrangements, catering, room setup, virtual platforms, audiovisual services, attendee lists, and additional vendors.
• Handle audience generation, attendee recruitment, and data management related to attendees.
• Complete post-event reporting in accordance with the Sunshine Act.
• Process and administer payments for healthcare professionals and vendor invoices.
• Monitor and prepare attendee expenditure reports to ensure Sunshine Act compliance.
• Review and reconcile final invoices and associated costs.
• Update and disseminate program templates and meeting materials.
• Coordinate ground transportation and manage arrival and departure logs.
• Collaborate with internal teams for program planning and execution.
• Maintain communication with the manager and project team throughout each program.
• Achieve or surpass minimum billable utilization percentages.
• Travel as needed to provide on-site management for meetings.
• Bachelor's degree.
• At least 2-3 years of experience in meeting planning.
• CMP Certification is preferred, although not mandatory.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
• Familiarity with Cvent® (online event registration management system).
• Experience with alternative web-based registration systems.
• Proficient in executing virtual meetings using platforms like Zoom, WebEx, Adobe Connect, On24, and GoToMeeting.
• Knowledgeable in the hotel, air travel, and event planning sectors.
• Strong skills in accounting and negotiation.
• Capable of independently managing assigned projects.
• Ability to prioritize, multitask, and plan multiple meetings concurrently.
• Competent in following directions and applying them effectively to the planning and execution of ongoing projects.
• Proficient in conflict resolution, problem-solving, and maintaining composure in a dynamic environment.
• Experience and ability to manage and travel to meetings both domestically and internationally.
• Availability to work outside of standard company hours, including evenings and weekends.
• Adherence to and understanding of PhRMA, FDA, OIG, ACCME, and ADA guidelines.
