This is a fully remote position, open to applicants in United States.
• Provide administrative assistance to two Senior Vice Presidents within the ASPCA Program division.
• Oversee intricate scheduling, calendar management, conflict resolution, meetings, and communication for senior leadership.
• Coordinate travel logistics, itineraries, expense reports, and travel preparation.
• Record meeting notes, track decisions, document next steps, and facilitate follow-ups.
• Monitor organizational calendars and equip SVPs and teams for planning sessions, reviews, compliance training, and budget preparation.
• Collaborate with the Director and administrative colleagues to enhance Program administrative functions and offer backup support.
• Assist in the adoption and effective utilization of new technologies in collaboration with IT.
• Plan and organize internal and external meetings and events, taking care of travel, supplies, room arrangements, A/V needs, and catering.
• Collect feedback to enhance meeting effectiveness, communication, and team processes.
• Aid in the collection of budget details, review, initial analysis, reporting, and data maintenance.
• Manage projects by tracking timelines, deliverables, documentation, communications, and any issues that arise.
• Develop slide decks and visual representations of information.
• High School diploma, GED, or equivalent work experience is required.
• A minimum of 4 years of experience in providing administrative support, with at least 1 year dedicated to supporting executives.
• Experience in managing calendars and providing logistical support for ongoing work and priorities.
• At least 1 year of experience in arranging travel for others.
• 1 year of experience in organizing virtual and on-site meetings for others.
• 2 years of experience in taking meeting notes and outlining next steps.
• 1 year of experience in supporting budget preparation and review.
• 1 year of experience in completing expense reports for others.
• Strong organizational abilities and the capacity to manage competing priorities and deadlines.
• Demonstrated sound judgment, diplomacy, sensitivity, and a commitment to confidentiality.
• Capability to work independently in a remote environment.
• Proficiency in planning, organizing, and facilitating meetings.
• Strong verbal and written communication skills, including grammar, editing, and proofreading.
• Proficiency in Microsoft Office, particularly Outlook and Teams.
• Quick adaptability to learn new software.
• Ability to embody ASPCA core values and behavioral competencies.
• Familiarity with Workday, Airtable, Box, and Canva is preferred.
• Experience in event or conference planning is preferred.
• Experience in collecting and managing data sets is preferred.
• A background in animal sheltering, veterinary medicine, or animal welfare is a plus.
• Proficiency in English is required.
