This is a fully remote position, open to applicants in Maine.
• Manage the entire lifecycle of prime grants and contracts, from proposal formulation and negotiation to award administration, compliance, reporting, and closeout.
• Lead the initiation of awards, which includes reviewing terms, compliance requirements, deliverables, budgets, reporting timelines, and milestones.
• Act as the main point of contact for assigned prime awards, coordinating with funders and internal stakeholders.
• Track award performance in relation to scopes of work, budgets, timelines, milestones, and contractual commitments.
• Oversee amendments, budget modifications, extensions, no-cost extensions, rebudgeting, and other changes to awards.
• Coordinate financial, programmatic, and contractual reporting processes.
• Ensure that award files are complete, accurate, and ready for audits.
• Analyze and implement sponsor regulations, award terms, organizational policies, and relevant requirements.
• Conduct or organize risk assessments and compliance reviews.
• Supervise subrecipient and subcontractor obligations under prime awards.
• Collaborate with finance, audit, legal, and compliance teams regarding findings, risks, and necessary corrective measures.
• Develop and enhance policies, procedures, tools, workflows, and standard operating procedures related to grants and contracts.
• Improve systems for tracking requirements, deliverables, deadlines, modifications, and compliance obligations.
• Identify opportunities for automating or streamlining portfolio monitoring and reporting processes.
• Assist in the implementation and optimization of grants management or ERP systems.
• Supervise and provide strategic direction, coaching, and professional development for the Associate Manager, Contracts and Compliance.
• Offer technical guidance and oversight for subaward development, risk assessment, negotiation, execution, monitoring, modifications, reporting, and closeout.
• Bachelor's degree in business administration, public administration, finance, law, public health, healthcare administration, or a related field.
• At least 8–10 years of progressively responsible experience in grants administration, contracts management, subaward administration, procurement, or a related field.
• Experience in managing the lifecycle of complex contracts or subaward agreements within federally funded settings.
• In-depth understanding of contracting principles.
• Strong familiarity with Uniform Guidance (2 CFR 200), Federal Acquisition Regulation, federal grant requirements, and procurement standards.
• Proven experience in drafting, negotiating, administering, and closing contracts, subawards, or similar funding mechanisms.
• Capability to interpret agreement terms and convert requirements into actionable implementation steps.
• Excellent project management, organizational, and documentation skills.
• Ability to handle multiple agreements and deadlines concurrently.
• Outstanding verbal and written communication abilities.
• Proficiency in MS Office Suite.
• Proficiency in Portuguese, French, or Spanish is considered an asset.
