This is a fully remote position, open to applicants in Texas.
• Document, analyze, and enhance all processes related to office facilities support services.
• Acquire and monitor facilities materials and labor, processing invoices for tracking and payment purposes.
• Establish operational guidelines for security badge procedures and system maintenance in collaboration with the Manager of Facilities.
• Confirm that badges are current and functional; provide assistance with badging for staff, vendors, and temporary personnel.
• Supervise Administration staff and manage workload distribution and scheduling.
• Maintain facility databases and resource websites; offer support for special projects.
• Oversee meeting arrangements and coordination.
• Evaluate contractor/vendor scopes of work and determine their effects on the PowerSchool environment.
• Participate in vendor meetings, manage any interruptions or modifications, and inspect contractor work.
• Ensure that contractors adhere to safe work practices and established operating procedures.
• Enhance operations, minimize turnaround times, optimize processes, and deliver exceptional customer service.
• Foster strong working relationships with both internal and external customers, as well as staff and contractors/vendors.
• Contribute to departmental operating and capital budgets; order materials and supplies; oversee and track expenditures.
• Lead projects and engage in office committees and teams, including the Safety Committee.
• Carry out additional responsibilities as assigned.
• Over 5 years of relevant experience.
• Must demonstrate honesty, integrity, and courtesy in all interactions.
• Strong work ethic in meeting customer needs, providing prompt and consistent responses.
• Capability to prioritize multiple, conflicting, and urgent requirements.
• Ability to work independently with minimal supervision.
• Effective communicator at all organizational levels, both verbally and in writing.
• Excellent project management skills.
• Proficient in Microsoft Office Suite, especially Word and Excel.
• Knowledgeable about or willing to learn other facility-related software.
• Familiar with card reader systems and security procedures.
