This is a fully remote position, open to applicants in United States.
• Oversee and manage the executive calendars for the Chief Product Officer (CPO) and Chief Technology Officer (CTO), which includes scheduling, prioritizing tasks, and coordinating with stakeholders.
• Proactively anticipate the needs of executives and prepare necessary materials and context in advance.
• Organize intricate travel arrangements, including itineraries, bookings, and logistics.
• Serve as the main liaison between executives and internal as well as external stakeholders.
• Coordinate activities across different time zones and manage complex scheduling challenges.
• Handle urgent and high-priority requests using sound judgment and discretion.
• Plan and organize team offsite events, meetings, and various gatherings.
• Lead and cultivate the technical Executive Assistant team based in Pakistan, supporting Research and Development (R&D), while establishing coverage models, service standards, and career development pathways.
• Assist with special projects and cross-departmental initiatives.
• Maintain essential organizational documents, including organizational charts and distribution lists.
• Maintain a high level of confidentiality and professionalism.
• Minimum of 8 years of experience as an Executive Assistant, ideally in a leadership role within a fast-paced or startup environment, with experience supporting C-level executives.
• At least 2 years of experience in people management, preferably overseeing an Executive Assistant or administrative team.
• Exceptional written and verbal communication skills.
• Outstanding time management and organizational skills.
• Keen attention to detail with the ability to juggle multiple priorities.
• Comfortable working in high-pressure situations and adapting to shifting priorities.
• Capable of managing interruptions while maintaining focus and follow-through on tasks.
• High level of discretion and commitment to confidentiality.
• Proficient in Google Suite applications.
• Strong judgment and effective prioritization skills.
• Candidates must be authorized to receive and access commodities and technologies regulated under U.S. Export Administration Regulations.
