This is a fully remote position, open to applicants in Minnesota.
• Oversee the comprehensive planning and implementation of intricate domestic and international incentive travel programs, accommodating events with over 250 attendees.
• Act as the main point of contact for clients, conduct meetings, offer strategic insights, manage expectations, and address any program-related needs or issues.
• Oversee budgets, timelines, hotel accommodations, function spaces, food and beverage arrangements, air and ground transportation, destination management companies (DMCs), activities, production, merchandise, registration, attendee communications, and event technology.
• Create innovative program concepts, themed events, and destination experiences that align with client goals.
• Manage group travel logistics, including air travel, passports and visas, VIP and executive experiences, and complex attendee requirements.
• Take ownership of program finances, including budgets, deposits, billing, reconciliation, profitability, and adherence to contracts.
• Source, negotiate, and coordinate with hotels, DMCs, transportation providers, activity partners, and other vendors.
• Lead both internal and external project teams, mentor Event Managers, and collaborate with internal support functions.
• Identify potential risks and support contingency planning, crisis response, and duty-of-care strategies.
• Conduct post-program debriefs and contribute to client retention and account expansion.
• Minimum of 6 years in meeting and event management, with substantial experience in leading incentive travel programs.
• Preference for candidates with experience managing domestic and/or international incentive programs involving 250+ attendees.
• Proven expertise in complex program logistics, project management, budgeting, and financial oversight.
• Experience in negotiating and managing hotels, DMCs, transportation, activities, and various travel/event suppliers.
• Strong knowledge of group travel operations, including air travel, ground transportation, international travel regulations, and attendee logistics.
• Experience in managing executive/VIP attendees and creating high-touch guest experiences.
• Excellent client relationship management, communication, and problem-solving abilities.
• Experience in leading cross-functional teams and mentoring Event Managers.
• Ability to manage multiple complex programs and priorities at the same time.
• Proficient in Microsoft Office and familiar with registration, mobile event applications, and event technology platforms.
• Bachelor's degree or equivalent experience; a focus on travel/tourism is preferred.
