This is a fully remote position, open to applicants in New York.
• Lead the comprehensive planning of designated pharmaceutical and industry conferences, encompassing timelines, operations, logistics, budgets, and booth/sponsorship obligations.
• Take charge of fulfilling sponsorship commitments, which include registrations, tabletop booth displays, branding/creative assets, and contracted benefits.
• Organize and execute roundtables and client dinners, coordinating venue/vendor arrangements, guest list development, attendee recruitment communications, and event deliverables.
• Manage onsite event presence as necessary.
• Coordinate key attendees, client meetings, networking opportunities, and event follow-ups in collaboration with sales and commercial leaders.
• Oversee event content, marketing materials, and social media interactions in partnership with marketing and design leaders.
• Act as the primary operational contact with conference organizers, vendors, and external event stakeholders.
• Ensure that event leads, meetings, attendance, and engagement data are accurately recorded and communicated for follow-up.
• Maintain documentation, timelines, and scalable processes for event management.
• Effectively communicate any roadblocks and program updates in a timely manner.
• Bachelor’s degree in Marketing, Communications, Business, or a related discipline.
• 4+ years of experience in event marketing, conference management, or corporate event management.
• Experience preferably within the pharmaceutical, healthcare, technology, or SaaS sectors.
• Demonstrated success in managing multiple complex events, sponsorships, and event programs concurrently.
• Strong project management abilities and keen attention to detail.
• Familiarity with project management, marketing, and event tools such as Asana, Cvent, and HubSpot.
• Exceptional communication and collaboration skills.
• Experience in managing vendors, external partners, and cross-functional stakeholders.
• Comfortable operating in a dynamic, remote-first environment.
• Willingness and ability to travel for onsite event execution and support.
