This is a fully remote position, open to applicants in New Mexico.

📋 Description

• Oversee all facets of client billing, encompassing bill preparation, daily process administration, research, analysis, troubleshooting, problem resolution, reporting, and special projects.

• Generate client budget forecasts and support the collections process.

• Interpret and relay client billing policies.

• Collaborate with the client’s E-billing Manager on specific e-bill management tasks and client inquiries.

• Submit monthly electronic invoices and accruals to clients.

• Manage client transitions to e-billing and provide ongoing support to attorneys and clients.

• Handle intricate, high-volume e-submission tasks for key corporate clients.

• Ensure adherence to client standards, internal protocols, and firm guidelines.

• Act as a subject matter expert and intermediary among billing attorneys, secretarial staff, and client e-billing personnel.

• Coordinate invoice resubmissions and corrective measures.

• Maintain client information in billing systems and external client web applications.

• Execute accruals, budgets, information requests, status reports, and matter profiles.

• Support e-billing systems by managing user accounts, passwords, security levels, budgets, and matter profiles.

• Analyze complex client accounts concerning collections, rates, and invoices that are reduced or rejected.

• Keep client partners and supervisors/managers updated on issue statuses and action plans.

• Train new Billing Analysts/Associates and mentor junior team members.

• Assist billing staff as a value-added subject matter expert.

• Work collaboratively with financial colleagues to address issues and enhance departmental responsibilities.

• Communicate problems and solutions in a professional and timely manner.

• Serve as a backup for team members.

• Suggest and document improvements in processes and procedures.

• Update documentation related to billing arrangements and procedures.

• Engage professionally with clients in person, via phone, and electronically.

• Complete special assignments as designated.

• Carry out daily departmental responsibilities.

• Comply with company and client site policies.


⛳️ Requirements

• An associate’s or bachelor’s degree is preferred, with a focus in Business, Accounting, or Finance.

• Relevant experience may be accepted in lieu of formal education, depending on the candidate’s overall work history.

• A minimum of four years of e-billing experience in a law firm or professional setting is required; five years or more is preferred.

• Practical knowledge of various e-billing vendor systems and outside counsel guidelines.

• Strong analytical and critical thinking abilities.

• Excellent interpersonal skills and the capacity to work in challenging and dynamic environments.

• Self-motivated with a robust work ethic; able to work independently with minimal supervision.

• Capability to work outside standard business hours and adapt schedules to meet deadlines.

• Proficient in multitasking and meeting strict deadlines in a fast-paced work environment.

• Outstanding organizational and time-management skills.

• Proven expertise with Microsoft Office and MS Excel, including pivot tables, graphs, formulas, and macros.

• Experience with client Document Management Systems (DMS).

• Ability to create spreadsheets, manipulate data, and produce reports.

• Excellent verbal and written communication skills, including presenting findings to senior management.

• Ability to function effectively in cross-functional settings and interact with senior management, vendors, and client staff.

• Capability to manage sensitive matters with confidentiality.

• Experience with Aderant or Elite/Elite 3E and/or business intelligence products is highly preferred.

• Willingness to work overtime as necessary during peak or critical periods.

• Commitment to maintaining the highest level of confidentiality.

• Successful completion of pre-employment background checks and drug screenings.

• Must adhere to Williams Lea policies and client site policies.
