This is a fully remote position, open to applicants in District of Columbia, +1 more state.
• Provide administrative and operational assistance to the Vice President and Deputy Vice President of Development.
• Document and summarize notes during bi-weekly portfolio strategy meetings and quarterly portfolio reviews.
• Monitor donor activities and communications within the fundraising CRM.
• Create materials for donor meetings, including prospect summaries, background research requests, and fundraising strategy documents.
• Assist with event management and logistics for the annual signature dinner as well as smaller donor events.
• Oversee and manage the annual Development Operating Plan.
• Organize, document, and track quarterly team check-ins and departmental 90-day priorities.
• Facilitate Development Management Team meetings while tracking priorities, deadlines, and action items.
• Keep departmental project and priority views updated in Asana.
• Handle AI-assisted meeting documentation, summaries, action-item capture, and tracking of carry-over tasks.
• Promote the adoption of Asana, SharePoint, AI-enabled tools, and collaboration platforms.
• Coordinate logistics for the Executive Office, including scheduling, travel arrangements, and follow-up.
• Prepare materials for Philanthropy Committee and Board meetings.
• Compile meeting materials, briefing documents, presentations, agendas, and supporting resources.
• Monitor committee recommendations, action items, and follow-up responsibilities.
• Manage onboarding and offboarding processes for Development staff.
• Maintain the structure, templates, guides, and operational documentation within SharePoint.
• Organize department meetings, retreats, and internal activities.
• Assist with department administration, including supplies and staff milestone cards/gifts.
• Support special projects and initiatives across the department.
• Two to four years of experience in project coordination, operations, development administration, executive support, or a related field.
• Ability to manage multiple complex projects and priorities simultaneously.
• Experience in providing support to senior leaders and handling highly confidential information.
• Strong organizational, planning, and follow-through capabilities.
• Exceptional written and verbal communication skills.
• Familiarity with project management and collaboration platforms, such as Asana or similar tools.
• High proficiency in Microsoft Office and Microsoft 365 applications.
• Experience with fundraising databases and nonprofit operations is preferred.
• Ability to collaborate effectively with a diverse range of colleagues, stakeholders, and partners.

• Capacity to communicate effectively with all levels of NPCA staff.
• Availability to work Monday through Thursday, with core office hours from 9:00 AM to 6:00 PM.
• Willingness to work occasional nights and weekends as required by event scheduling.

• Full-time 32-hour, four-day work week.
