This is a fully remote position, open to applicants in Arizona, +4 more states.
• Deliver high-level executive coordination and administrative assistance to 2-4 Market Leaders.
• Oversee intricate Market Leader calendars and scheduling with donors, board members, corporate partners, CEOs, volunteers, staff, and Executive Assistants.
• Create agendas, briefing documents, meeting packages, presentations, and background materials for leadership meetings and strategic initiatives.
• Manage meeting logistics, record decisions, distribute action items, and arrange follow-up sessions.
• Facilitate board recruitment processes, including applications, onboarding, orientations, meetings, speakers, content, invitations, RSVPs, attendance, quorum tracking, and communications.
• Prepare materials for board meetings and maintain information regarding board engagement, commitments, action items, and follow-up.
• Assist CEOs Against Cancer chapters through coordination of meetings and events, networking, recruitment, onboarding, communications, logistics, and management of member experiences.
• Aid in donor cultivation, stewardship, and solicitation meetings, encompassing scheduling, invitations, follow-up communications, commitment tracking, and stewardship calendars.
• Collaborate with Executive Support, Senior Coordinators, and Centralized Support Services to ensure consistent support, share best practices, balance workloads, provide coverage, enhance processes, and maintain precise records.
• Bachelor’s degree preferred or a combination of education and relevant work experience.
• 3-5 years of experience in supporting executives/senior leaders, complex administrative coordination, board support, or similar roles.
• Outstanding organizational skills, attention to detail, follow-through, and time-management abilities.
• Capacity to anticipate needs, exercise sound judgment, maintain discretion, and handle confidential or sensitive information with care.
• Excellent written, verbal, listening, and interpersonal communication skills with a professional, customer-centered approach.
• Ability to foster productive relationships and communicate effectively with senior leaders, staff, board members, volunteers, donors, CEOs, Executive Assistants, and external partners.
• Proficient in managing multiple complex priorities, adapting to changing needs, resolving conflicts, and meeting deadlines in a dynamic environment.
• Strong skills in meeting coordination, project organization, note-taking, action-item tracking, and follow-up.
• Competence in preparing accurate and polished agendas, briefing materials, meeting packets, presentations, communications, and records.
• Proficiency in Salesforce data entry, Microsoft Office, and Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
• Ability to learn proprietary systems and adapt to evolving workflows.
