Senior Congress & Project Specialist

This is a fully remote position, open to applicants in Germany.

📋 Description

• Management of both International and National Congresses as well as support for the Business Unit.

• Congress and Event Management: oversee the planning, organization, and execution of all elements related to congress participation; collaborate with internal teams and international congress management to ensure adherence to industry standards; cultivate relationships with external vendors.

• Budget Management: create and oversee the congress budget, ensuring resources are utilized effectively; track expenditures and deliver regular financial updates to senior management; negotiate agreements with vendors and suppliers to obtain advantageous terms.

• Stakeholder Engagement: act as the main liaison for healthcare professionals, key opinion leaders (KOLs), and other stakeholders involved in the congress; facilitate effective communication and collaboration among all parties.

• Compliance and Reporting: guarantee that all congress activities meet industry regulations, company policies, and ethical guidelines; keep precise records of congress activities, including attendee lists.

• Contract Management: develop, coordinate, implement, and document contract processes; provide backup support for other members of the contract management team when needed.

• Business Unit Support: assist the Business Unit Director with organizing internal and external meetings, provide onsite support for selected events, and aid in processing travel expense forms for the Business Unit Director.


⛳️ Requirements

• A Bachelor's degree in Business, Marketing, Life Sciences, Healthcare Management, Event Management, or a related discipline.

• Proven experience in congress/event management, project coordination, or a comparable position within the pharmaceutical sector.

• Experience in budget management and financial reporting.

• Skills in contract management and vendor negotiations.

• Exceptional organizational, communication, and stakeholder management skills.

• Experience collaborating with cross-functional teams.

• Understanding of compliance requirements within the pharmaceutical, biotech, or healthcare fields.

• Proficiency in Microsoft Office Suite (particularly Excel, PowerPoint, and Word).
