This is a fully remote position, open to applicants in Sri Lanka.
• Supervise and manage the Executive Assistant support services for designated senior executives located at a GDS site.
• Lead a team of Executive Assistants in a remote working environment.
• Provide comprehensive support including diary management, travel arrangements, event planning, meeting coordination, expense tracking, client relationship management, email handling, CRM data management, timesheet processing, and general administrative duties.
• Organize internal and external appointments, meetings, events, videoconferences, facility usage, equipment needs, catering, and agendas.
• Handle executive travel arrangements, including bookings, approvals, passport and visa management, cost oversight, and itinerary preparation in line with EY policies.
• Screen, respond to, flag, file, and delete email correspondence as instructed.
• Coordinate client visits, events, mailing lists, and marketing data.
• Assist in CRM pipeline management, opportunity administration, reporting, and contact and activity management.
• Gather and process reimbursable expenses and reconcile financial statements.
• Collect and input weekly timesheet data.
• Document meeting minutes and actions, maintain project information, track learning/CPE hours, support EY tools, gather and manage business information, transcribe recorded meetings, and perform various ad-hoc service line tasks.
• Collaborate with the onshore GDS Liaison Coordinator to ensure EA team members have the necessary skills and meet executive expectations.
• Operate in time zones that facilitate client support and step in as necessary to ensure efficient service delivery.
• Bachelor’s degree or a master's degree is required.
• Proficient command of English (both written and spoken) is essential.
• 4 to 8 years of professional experience, with a minimum of 3 years in a supervisory capacity (ideally).
• At least one year of experience in a team setting providing virtual secretarial services is preferred.
• Willingness to work in shifts.
• Strong skills in multi-tasking, prioritization, organization, and time management.
• Capable of problem-solving.
• Excellent network coordination abilities.
• Comfortable using IT database systems.
• Exceptional written and oral communication skills.
• Ability to work virtually and independently.
• Proven track record in project planning and management.
• Ability to engage diplomatically with clients.
• Willingness to work outside of regular hours when necessary.
• Proficient in MS Office (Word, Excel, and PowerPoint).
• Basic knowledge of MS Outlook and Lync.
• Ability to interact effectively with senior management.
