This is a fully remote position, open to applicants in United States.
β’ Provide comprehensive virtual administrative support to the CEO, Divisional CMO(s), and SVPs.
β’ Oversee calendar management, travel arrangements, and expense reporting.
β’ Lead project management efforts for SPS and Emergency Medicine Site Visit initiatives.
β’ Assist in the development, writing, and finalization of project reports and presentations.
β’ Coordinate deliverables for site visits and monitor workstreams.
β’ Maintain tracking systems for initiatives aimed at new service line growth.
β’ Organize education and training activities within the Emergency Medicine service line.
β’ Act as the primary contact for New Clinician Onboarding and Medical Director Onboarding programs.
β’ Track and maintain compliance and regulatory training for Emergency Medicine.
β’ Aid in service line communications, including recording monthly huddles and collaborating on newsletter content.
β’ Prepare and distribute materials that support the Center for Clinical Excellence for Emergency Medicine.
β’ Manage announcements through Project Broadcast.
β’ Align the Executive team and oversee service line decks and presentations, ensuring all materials are accurate, up-to-date, and presentation-ready.
β’ Familiarity with healthcare operations and administrative support roles in a clinical or physician group environment.
β’ Working knowledge of project management principles and the ability to manage multiple concurrent workstreams.
β’ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
β’ Skilled in using virtual meeting and communication platforms.
β’ Proven experience in supporting senior leaders, including calendar management, travel arrangements, and expense reporting.
β’ Experience in coordinating compliance or regulatory tracking programs and onboarding processes in a healthcare environment.
β’ Exceptional written and verbal communication skills.
β’ Experience in drafting and editing professional documents, reports, and presentations.
β’ Ability to work effectively within a matrixed organization across clinical, operational, and administrative stakeholders.
β’ Strong interpersonal skills to handle sensitive situations and confidential information with professionalism, tact, and diplomacy.
β’ 5 years of experience in project management, administrative, or coordinator roles, ideally within a healthcare or clinical operations setting.
β’ Preference for candidates with prior virtual work experience.
β’ Candidates located in the Central Time Zone or those willing to primarily work within Central Time Zone business hours are preferred.
