This is a fully remote position, open to applicants in Oregon.
• Oversee essential legal processes, which include electronic court submissions, service through state and federal portals, and legal research utilizing Lexis, Westlaw, and PACER.
• Create discovery and litigation templates.
• Format legal documents according to firm standards.
• Arrange court appearances.
• Manage documentation with Adobe Acrobat and DocuSign.
• Supervise PCard expense reconciliations and the processing of judicial forms.
• Ensure job tickets are completed accurately before initiating tasks.
• Evaluate job requests and guarantee task completion throughout the entire workflow.
• Provide administrative assistance, including handling phone lines, customer service, document editing/transcription, data entry, reservations, and scheduling.
• Maintain logs and tracking systems for administrative tasks.
• Communicate any job or deadline concerns to team members, leads, supervisors, and clients.
• Protect confidential information pertaining to the company and clients.
• Adhere to contracted timelines for receiving, executing, and delivering work.
• Resolve basic equipment issues.
• Assist in developing training plans and process documentation.
• Conduct training sessions for a team of Administrators.
• Act as a subject matter expert and resource for junior staff members.
• Engage with clients in person, via phone, video, or electronically.
• Prioritize tasks effectively.
• Perform quality assurance on personal work and that of others.
• Comply with Williams Lea and client-site policies.
• Utilize equipment and materials in a cost-effective manner.
• Execute additional duties as assigned.
• High school diploma or equivalent educational qualification.
• A minimum of 2 years of administrative support experience in a professional setting, preferably within the legal or banking sectors; or at least 1 year performing administrative functions for a Williams Lea client operation.
• Formal education and/or training may be accepted in place of experience.
• Recent experience with comprehensive E-Filing and E-Service.
• Direct experience managing state, federal, and arbitration filings across platforms, including One Legal, First Legal, Pro Legal, Green Filing, Proof, File & ServeXpress, CaseAnywhere, District Court, Court of Appeals, Supreme Court, TrueFiling, FINRA, UCC, AAA, and JAMS.
• Advanced proficiency in MS Office applications, including Word, Excel, and PowerPoint.
• Strong keyboarding and typing capabilities.
• Ability to troubleshoot relevant software effectively.
• Familiarity with administrative support software programs.
• Experience scheduling telephonic and virtual court appearances through platforms such as Court Call, Court Connect, Journal Technologies Court Portal, or similar services.
• Excellent organizational skills with the ability to meet deadlines.
• Capacity to manage sensitive and highly confidential documents and information with professionalism and discretion.
• Good judgment and problem-solving abilities, including knowing when to escalate issues.
• Ability to work both independently and collaboratively.
• Capability to thrive in a fast-paced environment.
• Professional verbal and written communication skills.
• Proficiency in using required equipment, technology, software, and hardware.
