This is a fully remote position, open to applicants in Oregon.
• Oversee essential legal workflows, including electronic court filings, service across state and federal platforms, and conducting legal research.
• Utilize Lexis, Westlaw, and PACER for legal research and case retrieval.
• Prepare discovery documents and litigation frameworks.
• Format pleadings in accordance with firm standards.
• Organize court appearance schedules.
• Manage documentation with Adobe Acrobat and DocuSign.
• Supervise PCard expense reconciliations and the processing of judicial forms.
• Ensure that job tickets are accurately completed prior to commencing work.
• Evaluate job requests and oversee their completion throughout the task lifecycle.
• Respond to phone inquiries and provide exceptional customer service.
• Edit and transcribe various documents.
• Conduct data entry for expenses, time, invoices, and other records.
• Arrange reservations and coordinate meetings, conference rooms, A/V, hospitality, travel, and concierge services.
• Monitor administrative support tasks through logs or tracking software.
• Communicate any job or deadline concerns to team members, leads, supervisors, or clients.
• Protect confidential information pertaining to the company and clients.
• Adhere to deadlines for accepting, completing, and delivering tasks.
• Troubleshoot basic equipment issues.
• Assist in developing training plans and process maps.
• Deliver training plans to a team of administrators.
• Act as a subject matter expert and resource for junior staff members.
• Engage with clients in person, via phone, video, or electronically.
• Prioritize workflows effectively.
• Perform quality assurance on personal and others’ work.
• Comply with Williams Lea and client-site policies.
• Utilize equipment and supplies in a cost-effective manner.
• Execute additional duties as assigned.
• High school diploma or equivalent educational background.
• At least 2 years of administrative support experience in a professional setting, preferably within the legal sector; or a minimum of 1 year performing administrative tasks for a Williams Lea client operation.
• Formal education and/or training may be accepted as a substitute for experience.
• Recent experience with comprehensive E-Filing and E-Service.
• Direct experience with managing state, federal, and arbitration filings across designated filing platforms and court portals.
• Advanced proficiency in MS Office applications (Word, Excel, PowerPoint).
• Excellent keyboarding and typing skills.
• Ability to troubleshoot applicable software issues effectively.
• Familiarity with software programs relevant to administrative support.
• Strong attention to detail with the capability to manage multiple projects simultaneously.
• Proficient in scheduling telephonic and virtual court appearances through platforms like Court Call, Court Connect, Journal Technologies Court Portal, or similar tools.
• Good organizational abilities.
• Capacity to meet deadlines and complete projects promptly.
• Ability to handle sensitive and highly confidential documents with professionalism and discretion.
• Sound judgment and decision-making aligned with business needs and policies.
• Strong problem-solving skills with the ability to escalate issues appropriately.
• Capability to maintain professional composure under tight deadlines.
• Ability to work both independently and as part of a team.
