This is a fully remote position, open to applicants in Canada, +1 more country.
• Oversee daily accounting functions as the sole accountant.
• Report directly to the COO while collaborating with Sales and Client Success teams.
• Manage the monthly billing cycle for SaaS subscriptions, implementation fees, expansion and upsell items, along with third-party passthroughs.
• Analyze signed client contracts to ascertain billing terms.
• Gather billing inputs from Salesforce, contract files, and deal owners.
• Reconcile invoices from third-party vendors with client rebillings and investigate any discrepancies.
• Handle accounts receivable collections, aging reviews, client follow-ups, and escalation of at-risk balances.
• Prepare invoices for COO's review and subsequent release.
• Manage accounts payable intake, vendor coding, entries, payment runs, vendor relationships, statements, and dispute resolutions.
• Ensure vendor-to-GL coding standards are maintained and accounts payable are kept current.
• Oversee US multi-state sales tax responsibilities, including nexus monitoring, registrations, filings, exemption certificates, voluntary disclosures, notices, and audits.
• Administer Avalara and reconcile taxable sales with filed returns.
• Assist with Canadian corporate tax filings and US federal and state returns in collaboration with external advisors.
• Manage the complete month-end close process for the US parent company, Canadian entity, and subsidiary.
• Maintain schedules for deferred revenue, implementation fee amortization, prepaid expenses, referral fee accrual, and sales commission amortization.
• Allocate payroll and benefits across US and Canadian payrolls, including CAD translation and RRSP remittance reconciliation.
• Investigate and clarify month-over-month departmental variances.
• Create the monthly KPI package for the board of directors.
• Act as the primary contact during the annual financial statement audit.
• Prepare PBC schedules and workpapers, address auditor requests, and manage post-audit adjustments.
• Maintain rollforward schedules linked to the general ledger.
• Control the external distribution of audited financial statements through the COO.
• Document recurring processes such as close checklists, vendor coding, departmental mapping, and billing logic.
• Identify the root causes of recurring errors and implement enhancements in processes, systems, and workflows.
• A minimum of 5 years of progressive accounting experience, with complete ownership of a month-end close (mandatory).
• Practical experience with US multi-state sales tax, including nexus determination, state registrations, filings, exemption certificate management, and voluntary disclosure agreements (mandatory).
• Proficient knowledge of Avalara or a similar sales tax engine, including its integration with a billing system (mandatory).
• Understanding of US GAAP revenue recognition under ASC 606 as applied to multi-element SaaS contracts, including implementation fee deferral and principal-versus-agent analysis for passthrough revenue (mandatory).
• Experience in a multi-entity setup with cross-border operations and foreign currency translation.
• Experience in owning or significantly supporting an external financial statement audit.
• Proficient in QuickBooks Online, Bill.com, and a billing platform.
• Familiarity with Zoho and Salesforce is a plus.
• Ability to work independently without supervision, extract data from a CRM, interpret signed contracts, and consult with deal owners.
• Proven track record of authored and maintained process documentation; work samples may be required.
• CPA (Canada or US) or equivalent practical experience.
• SaaS or fintech experience is highly desirable.
• Experience working with credit unions or community banks is an advantage.
• Legal authorization to work in Canada is required.
