This is a fully remote position, open to applicants in District of Columbia, +1 more state.
• Develop, oversee, and ensure precise scheduling for clients and Care Professionals.
• Pair Care Professionals with clients according to their availability, skills, and specific client needs to ensure continuity of care.
• Handle approximately 60–80 inbound and outbound calls each day.
• Act swiftly to address issues such as sickness, cancellations, uncovered shifts, and last-minute changes in schedules.
• Reach out to available Care Professionals to arrange replacement coverage.
• Maintain contingency strategies to guarantee 100% coverage of scheduled service hours.
• Track, document, and update scheduling activities within the company’s software system.
• Address scheduling concerns raised by clients, families, and Care Professionals effectively.
• Keep accurate records for clients, employees, and services.
• Relay significant operational updates and concerns to management.
• Foster professional relationships with clients, families, and Care Professionals.
• Comprehend client needs and identify suitable opportunities to retain or increase service hours.
• Safeguard confidential information pertaining to clients and employees.
• Provide clear handovers and ensure that unresolved matters are followed up until completion.
• Assist with evening and weekend scheduling needs when required.
• Report directly to the Owner / Operations Management Team.
• At least one year of relevant experience in scheduling, workforce coordination, staffing, operations, customer service, or a similar role.
• Proficient in spoken and written English.
• Possess a confident, natural, and professional telephone demeanor.
• Comfortable working in a high-volume calling setting (approximately 60-100 calls per shift).
• Strong skills in organization, prioritization, and problem-solving.
• Ability to make prompt, sound decisions and maintain composure under pressure.
• Exceptional attention to detail and record-keeping skills.
• Proficient in Microsoft Word, Excel, and general office systems.
• Capable of professional communication with clients, families, Care Professionals, and senior management.
• Willingness to work hours that align with US business needs.
• Reliable high-speed internet connection and a professional home-working setup if the position is confirmed as remote.
• Highly advantageous: Experience in home-care, healthcare, or medical scheduling.
• Highly advantageous: Background in workforce management or shift planning.
• Highly advantageous: Experience in supporting US customers or businesses.
• Highly advantageous: Background in BPO, contact centers, or high-volume customer service.
• Highly advantageous: Familiarity with scheduling, CRM, or workforce management software.
