This is a fully remote position, open to applicants in Philippines.
β’ Prepare and issue subcontract agreements, addenda, and renewals for signatures, ensuring tracking until completion.
β’ Manage the subcontractor agreement repository, including tracking effective dates, renewal dates, and amendment histories.
β’ Process subcontractor onboarding packets and confirm that executed agreements, licensing, W-9s, and necessary insurance are complete prior to approval.
β’ Maintain the subcontractor documentation database, ensuring current status updates.
β’ Direct non-standard terms or requested modifications to the Risk and Safety Administrator for evaluation.
β’ Monitor certificates of insurance, track expirations, issue renewal reminders, and escalate any lapses.
β’ Ensure certificates reflect required coverage types, limits, additional insured status, and waiver of subrogation endorsements.
β’ Maintain policy and certificate files for all company lines of coverage.
β’ Assist with renewal and premium audit cycles by collecting and organizing necessary documentation.
β’ Act as the administrative point of contact with brokers and carriers regarding routine documentation requests.
β’ Maintain and format written safety program documents, policies, and training materials, distributing updates as needed.
β’ Assign, monitor, and follow up on safety training completion for employees, including scheduling recertification.
β’ Coordinate scheduling and logistics for remote training sessions.
β’ Maintain OSHA recordkeeping entries and posting schedules under the guidance of the Risk and Safety Administrator.
β’ Keep safety files, inspection documentation, and corrective action logs organized and updated.
β’ Conduct intake on reported incidents, open files, gather statements and documentation, and route to the Risk and Safety Administrator on the same day.
β’ Track corrective actions and follow up until resolution.
β’ Assist with workersβ compensation and claims administration, including gathering records requested by carriers and managing claim files.
β’ Compile regular reports and maintain safety and compliance dashboards.
β’ Respond to routine documentation requests from Operations, Finance, and customers.
β’ At least 2 to 3 years of experience in compliance administration, insurance certificate management, contract administration, contractor onboarding, HR administration, or similar record-driven roles.
β’ Proven experience in preparing, routing, and tracking agreements and contract documentation.
β’ High level of accuracy in document management and deadline tracking.
β’ Strong written communication skills for effective follow-up with vendors, brokers, and subcontractors.
β’ Proficient in spreadsheets, document management systems, e-signature platforms, and database entry.
β’ Ability to work independently in a fully remote environment.
β’ Background in construction, roofing, or trades industry preferred but not mandatory.
β’ Experience with COI tracking or contractor compliance software preferred but not mandatory.
β’ Bilingual in English and Spanish preferred but not mandatory.
β’ Familiarity with the basics of OSHA recordkeeping preferred but not mandatory.
