This is a fully remote position, open to applicants in United States.
• Act as the primary liaison for the Northwest SVP, facilitating communication with both internal and external stakeholders.
• Collaborate with the West leader to establish regional objectives, monitor key performance indicators (KPIs), and implement critical goals.
• Manage and prioritize the executive’s intricate and dynamic calendar efficiently.
• Proactively resolve scheduling conflicts while safeguarding the executive’s time.
• Serve as an intermediary between the executive and employees, clients, and external collaborators.
• Screen emails, respond to phone calls, and manage correspondence.
• Oversee meeting schedules and prepare necessary materials, including agendas, presentations, and background research.
• Participate in strategic meetings, take precise minutes, and track follow-up action items.
• Connect leadership with staff, address unassigned issues, and identify operational deficiencies.
• Create internal memos, presentations, briefs, and talking points.
• Assemble and prepare detailed expense reports using Excel and Expensify.
• Support or independently lead cross-functional projects, coordinating resources and monitoring progress.
• A minimum of 5 years of experience as an executive assistant, administrative assistant, or in a comparable high-level support position.
• Outstanding written and verbal communication abilities coupled with a polished professional demeanor.
• High level of proficiency with office productivity software and Google Workspace.
• Familiarity with communication platforms such as Slack and Zoom.
• Experience with CRM systems like Salesforce is an advantage.
• Strong multitasking capabilities and the agility to adapt quickly in a fast-paced, dynamic business environment.
• Proven track record of managing highly confidential and sensitive corporate and personal information with the highest level of integrity.
• Willingness to travel up to 30% of the time.
• Capability for sedentary work.
• Significant movement of wrists, hands, and/or fingers for at least 8 hours a day.
• Close visual acuity for viewing computer screens and/or extensive reading for a minimum of 8 hours a day.
• Primarily remote workforce (U.S. based only).
