Recurring Revenue Collections Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Prepare, review, and process both recurring and one-time customer invoices.

• Maintain customer billing details, payment terms, subscription information, and billing schedules using QuickBooks Online and HubSpot.

• Review contracts, pricing, and customer modifications to ensure billing accuracy.

• Handle upgrades, downgrades, add-ons, cancellations, discounts, credits, and prorated charges.

• Monitor MRR changes and reconcile subscription activity with billing records.

• Investigate and resolve billing discrepancies, missing invoices, duplicate charges, and erroneous pricing.

• Oversee accounts receivable aging and perform collection activities.

• Communicate with customers regarding outstanding balances, invoice inquiries, and payments.

• Document collection attempts, disputes, payment commitments, and follow-up dates.

• Investigate failed payments, short payments, unapplied cash, and account discrepancies.

• Apply payments and credits to the appropriate invoices and accounts.

• Manage billing and collections tickets, providing clear explanations of charges and balances.

• Allocate invoice line items to revenue accounts and reporting categories.

• Assist with accounts receivable reconciliations, general ledger activities, journal-entry documentation, and month-end closing.

• Prepare reports on billing volume, AR aging, collections, disputes, and ticket activities.

• Reconcile customer and subscription information between HubSpot and QuickBooks Online.

• Support MRR reporting and differentiate MRR from invoiced amounts, cash collections, and recognized revenue.

• Utilize spreadsheets to compare datasets and reconcile balances.

• Document procedures and propose improvements for workflow, control, and automation.

⛳️ Requirements

• Minimum of two years of experience in billing, collections, accounts receivable, or a related accounting position.

• Experience in a subscription-based, recurring revenue, or similarly high-volume billing environment.

• Proficient in using QuickBooks Online.

• Familiarity with HubSpot for maintaining customer records and tracking customer activities or workflows.

• Strong skills in Excel or Google Sheets, including pivot tables, lookup functions, filtering, and reconciling large datasets.

• Understanding of accounts receivable, payment application, account reconciliations, and fundamental general ledger accounting.

• Experience in managing customer requests via a ticketing system or structured service queue.

• Ability to accurately process frequent account changes while handling competing deadlines.

• Excellent written and verbal communication skills, with the ability to professionally manage sensitive collection conversations.

• Proven ability to investigate discrepancies, document findings, and see issues through to resolution.

• Prior experience in a SaaS or other MRR-based business is preferred.

• Knowledge of subscription billing platforms, payment processors, and integrations between CRM and accounting systems is preferred.

• Experience with prorated billing, mid-cycle upgrades, credits, and complex customer billing arrangements is preferred.

• Exposure to deferred revenue, revenue allocation, and month-end close support is preferred.

• An associate’s or bachelor’s degree in accounting, finance, business, or a relevant field, or equivalent practical experience is preferred.
