This is a fully remote position, open to applicants in Virginia.
• Provide administrative assistance to Program Managers, Capture Managers, Client Account Managers, and practice leadership throughout the opportunity and proposal lifecycle.
• Facilitate the intake of new opportunities and ensure accurate pursuit records are maintained.
• Assist in the setup of proposals, documentation, schedules, checklists, and compliance tracking.
• Coordinate contributions from program, capture, technical, finance, and other relevant participants.
• Monitor deadlines, outstanding actions, decisions, and potential scheduling or process challenges.
• Organize pursuit staffing plans and keep updated resumes and qualifications of proposed team members.
• Gather and maintain employee raw labor rates and other pricing inputs.
• Preserve historical data on project fees, spending, staffing, duration, and related information for future proposal budgets.
• Track communications, staffing requests, pricing inputs, commitments, and actions for both domestic and international delivery teams.
• Maintain reports on active pursuits, deadlines, staffing or pricing gaps, client and contractual matters, and leadership issues.
• Enhance proposal templates, trackers, checklists, reporting tools, and standard operating procedures.
• Identify and escalate missed deadlines, incomplete information, resource conflicts, process gaps, and other delivery risks.
• Collaborate with global AECOM teams on data center projects for international clients.
• BA/BS degree plus 2 years of experience or an equivalent combination of experience and/or education.
• Experience in supporting proposals, pursuits, business development, project operations, or similar activities in a professional services context.
• Capability to coordinate multiple concurrent activities, stakeholders, and deadlines.
• Excellent organizational skills with a keen attention to detail and follow-through.
• Strong written and verbal communication abilities.
• Proficiency in Microsoft Excel, Word, PowerPoint, Teams, SharePoint, and other business collaboration tools.
• Ability to organize and maintain intricate project, staffing, financial, and client information.
• Effective communication skills with project teams, senior leadership, finance, technical professionals, and geographically dispersed teams.
• Sponsorship for U.S. employment authorization is not available now or in the future.
• Preferred: Bachelor's degree in Business, Marketing, Communications, Architecture, Engineering, Construction Management, or a related field, or equivalent relevant experience.
• Preferred: Experience with data center, architecture, engineering, construction, mission-critical, or professional services projects.
• Preferred: Experience in supporting multidisciplinary proposals or complex project pursuits.
• Preferred: Familiarity with staffing plans, labor rates, fee development, proposal budgets, client contracts, MSAs, account information, or commercial documentation.
• Preferred: Experience coordinating with international or remote production and delivery teams.
• Preferred: Experience in developing or maintaining dashboards, automated trackers, Power BI reporting, or similar tools.
