Project Resource Coordinator

This is a fully remote position, open to applicants in Portugal, +1 more country.

📋 Description

• Facilitate the coordination of resource needs across customer projects, sales initiatives, and internal engineering efforts.

• Keep a precise overview of resource availability, allocations, bookings, utilization, and future demands.

• Collaborate closely with Sales, Pre-Sales, Engineering, Delivery Managers, and Project Managers to grasp upcoming resource requirements.

• Assist in the allocation and reassignment of personnel across various projects and opportunities.

• Aggregate demand forecasts and aid in sustaining short-, medium-, and long-term resource planning.

• Recognize potential capacity limitations, skill deficiencies, and recruitment necessities before they affect project delivery.

• Track utilization rates and bring attention to under-utilized or over-utilized resources.

• Support bench management and workforce planning initiatives.

• Generate regular resource reports, dashboards, forecasts, and management information.

• Assist in resource review meetings and escalate resource conflicts or risks as necessary.

• Contribute to the continuous enhancement of resource management processes, forecasting accuracy, and utilization.


⛳️ Requirements

• Prior experience in Resource Coordination, PMO, Project Coordination, Workforce Planning, Scheduling, or a comparable role.

• Proven ability to manage multiple projects, teams, and stakeholders simultaneously.

• Strong planning and organizational capabilities with exceptional attention to detail.

• Proficient analytical and problem-solving skills, with the capacity to interpret capacity, utilization, and forecasting data.

• Experience in generating reports, forecasts, and management information.

• Strong skills in stakeholder management and communication.

• Confident in working with cross-functional teams and balancing competing priorities.

• Advanced proficiency in Microsoft Excel.

• Familiarity with resource planning, PMO, or project management systems.

• A proactive mindset, comfortable in identifying potential issues and taking action before they escalate.

• A collaborative, commercially aware, and customer-centric attitude.

• Excellent verbal and written communication skills in English.
