This is a fully remote position, open to applicants in United States.
• Create and sustain project plans, timelines, milestones, and deliverables for simultaneous technology and operational initiatives.
• Establish project scope and success metrics in collaboration with sponsors and manage change control processes.
• Coordinate cross-functional project teams, internal personnel, and external vendors.
• Monitor task ownership, dependencies, and obstacles, driving issues to resolution.
• Maintain comprehensive project documentation, including charters, status reports, decision logs, and post-implementation reviews.
• Provide regular status updates to leadership and translate technical details into business implications.
• Facilitate project meetings, working sessions, and steering committee updates.
• Document decisions and action items.
• Collect requirements, validate priorities, and manage expectations concerning timelines and trade-offs.
• Support change management and end-user readiness, including training coordination and communication strategies.
• Identify, document, manage, and escalate project risks, assumptions, and constraints, offering recommended solutions.
• Monitor project budgets, forecasts, and actuals in collaboration with IT and Finance.
• Oversee vendor and implementation-partner deliverables, statements of work, and timelines.
• Track resource capacity across projects and highlight any conflicts.
• Establish and enhance project management practices, templates, and reporting standards.
• Utilize AI tools to draft status updates, summarize meetings and documentation, analyze project data, and automate recurring tasks.
• Share effective AI practices and pinpoint opportunities to minimize manual effort.
• Contribute to refining intake, prioritization, and portfolio visibility processes.
• Report directly to the Chief Operations and Information Officer.
• Collaborate with IT, program, operations, logistics, development, and finance teams.
• Manage implementation partners, consultants, and technology vendors.
• Engage with NGOs and healthcare providers on projects that impact shared systems and data exchange.
• Demonstrated experience in a nonprofit or mission-driven organization.
• Over 5 years of experience managing projects from inception to completion, including scope, schedule, budget, risk, and stakeholder communication.
• A minimum of 2 years managing technology or systems implementation projects.
• Proven experience handling multiple concurrent projects with competing priorities and shared resources.
• Experience leading technology or systems implementation projects, including platform migrations, CRM or ERP rollouts, or integration work.
• Capability to coordinate cross-functional teams and external vendors without direct supervisory authority.
• Evidence of employing AI tools in daily tasks.
• Exceptional written and verbal communication skills, with the ability to present status and risks to executive audiences.
• Bachelor’s degree in Business Administration, Information Technology, Project Management, or a related field, or equivalent professional experience.
• PMP certification is preferred.
• Agile project management experience is advantageous, including sprint planning, backlog management, and iterative delivery.
• Hands-on experience with Jira is preferred, including boards, workflows, and reporting dashboards.
• Agile or Scrum credentials such as CSM, PSM, PMI-ACP, or SAFe are preferred.
• Experience with AWS cloud migration projects or Salesforce CRM implementations is preferred.
• Background in building AI-assisted workflows or automations is preferred.
• Familiarity with Confluence, Smartsheet, Asana, Microsoft Project, or comparable portfolio management tools is preferred.
• Experience managing projects with limited budgets and lean staffing is preferred.
• Background in healthcare, pharmaceutical distribution, or international development sectors is preferred.
• Proficient in project planning, scheduling, and dependency mapping.
• Skilled in scope definition, change control, budget tracking, and risk and issue management.
• Familiarity with both Waterfall and Agile delivery methodologies.
• Proficient in Jira and Confluence, or comparable work tracking and documentation platforms.
• Experience with Microsoft 365, including Teams, Excel, SharePoint, and Project.
• Capable of building dashboards and reports.
• Ability to facilitate meetings and drive decisions among stakeholders with competing priorities.
• Proficient in translating technical details for non-technical audiences and business needs for technical teams.
• Proven ability to hold cross-functional teams accountable to deadlines without direct authority.
• Experience requiring independent judgment, with a track record of success.
• Fluency in reading, writing, and speaking English.
• Ability to regularly lift or move up to 5 pounds and occasionally up to 40 pounds.
• Capable of performing required standing, walking, sitting, reaching, handling, talking, hearing, and extensive computer-related work.
• Willingness to undertake regular domestic travel.
