This is a fully remote position, open to applicants in Colombia, +4 more countries.
• Act as the main contact for inquiries related to fieldwork, lab results, pricing, billing, and administrative duties
• Facilitate communication between the company and its clients
• Proactively assess client needs and manage daily workflows
• Provide support to internal teams and enhance interdepartmental communication
• Respond to incoming phone calls promptly and in a professional manner
• Conduct outbound calls to clients, internal teams, departments, and technicians
• Arrange and schedule field events and appointments with technicians, clients, and homeowners
• Deliver outstanding customer service and nurture strong client relationships
• Input and manage data within relevant systems
• Prepare and secure work authorizations along with necessary documentation
• Organize files and carry out administrative tasks
• Handle 20–30+ calls per day, 15–25 emails daily, and 10+ internal messages
• Efficiently switch between phone calls, emails, Slack, and other communication tools
• Reach out to clients to collect information and schedule appointments
• Confirm technician availability and coordinate field jobs
• Assist in gathering billing information for clients and insurance providers
• At least 2 years of experience in project coordination, administrative support, or similar roles
• Demonstrated ability to manage multiple projects at once
• Familiarity with project management methodologies such as Agile, Waterfall, Scrum, or equivalents
• Experience with project management software tools (e.g., Asana, Trello, Jira, Monday.com, Microsoft Project)
• Strong organizational and multitasking skills
• Excellent communication abilities and stakeholder management capabilities
• Proficient in scheduling and monitoring project timelines
• Skilled in data entry and reporting using Excel, Google Sheets, and other reporting tools
• Experience in coordinating meetings, recording minutes, and following up on action items
• Strong interpersonal and communication skills, focusing on client satisfaction
• Willingness to build and maintain solid client relationships through email and phone
• Growth mindset with enthusiasm for continuous learning and development
• Ability to work both collaboratively and independently
• Proficient in English at a B2 level or higher

• Proven experience working remotely with a dedicated home office setup, including a desktop, quality headset, and reliable internet connection
• Excellent English communication skills for phone interactions
• Comfortable working in the PDT timezone
• Able to work 8 hours per day within the 7 AM–7 PM PDT range
• Willing to work rotational Saturdays each month
