This is a fully remote position, open to applicants in Argentina, +4 more countries.
β’ Respond to incoming phone calls in a timely and professional manner
β’ Initiate outbound calls to clients, internal teams, and various departments
β’ Organize and schedule field events, including appointments with technicians, clients, and homeowners
β’ Provide outstanding customer service while fostering strong client relationships
β’ Accurately input and manage data within relevant systems
β’ Prepare and secure necessary work authorizations and documentation
β’ Maintain organized files and execute additional administrative duties
β’ Handle 20β30+ calls daily
β’ Manage 15β25 emails each day
β’ Respond to 10+ internal messages via Slack and similar platforms
β’ Transition seamlessly between phone, email, Slack, and other communication tools
β’ Collect client information and arrange appointments
β’ Reach out to technicians, confirm their availability, and coordinate accordingly
β’ Assist in gathering billing information for clients and insurance providers
β’ Dispatch with urgency, identify client needs, oversee daily workflows, and enhance communication across departments
β’ At least 2 years of experience in project coordination, administrative support, or similar positions
β’ Demonstrated capability to manage multiple projects concurrently
β’ Knowledge of project management methodologies such as Agile, Waterfall, Scrum, or comparable frameworks
β’ Experience with project management software tools (e.g., Asana, Trello, Jira, Monday.com, Microsoft Project)
β’ Strong organizational skills and the ability to multitask effectively
β’ Exceptional communication and stakeholder management abilities
β’ Proficient in scheduling and monitoring project timelines
β’ Experienced in data entry and reporting using Excel, Google Sheets, and other reporting tools
β’ Proficient in coordinating meetings, taking minutes, and following up on action items
β’ Strong interpersonal and communication skills, prioritizing client satisfaction
β’ Commitment to developing and nurturing strong client relationships through email and phone
β’ A growth mindset with a dedication to continuous learning and development
β’ Capable of working both collaboratively and independently
β’ English proficiency at B2 level or higher

β’ Proven experience working remotely with a well-equipped home office, including a desktop, quality headset, and reliable internet connection
β’ Strong English skills, particularly for managing phone communications
β’ Must be comfortable working in the PDT timezone
β’ 8 hours/day within the 7 AMβ7 PM PDT timeframe
β’ Rotational Saturdays each month
