This is a fully remote position, open to applicants in United Kingdom.
• Assist project teams throughout the entire lifecycle by managing schedules, trackers, logs, and action lists.
• Oversee project activities, milestones, scheduled start and completion dates, as well as dependencies.
• Develop, maintain, and disseminate project documentation, including job packs and work instructions.
• Keep records of risks, issues, actions, and changes, raising concerns with the Project Manager as needed.
• Aid in statutory, permit, and notice activities, such as Streetworks, NOIs, and traffic management processes.
• Manage PIANOI as-built submissions and associated network adjustments when necessary.
• Ensure accurate and auditable project records are maintained in accordance with governance and contractual obligations.
• Update schedules, whereabouts, trackers, and relevant systems for daily project execution.
• Coordinate work planning and scheduling for both internal and external stakeholders.
• Facilitate project and operational meetings by coordinating contributions, documenting actions, and following up on unresolved items.
• Generate daily, weekly, and monthly reports by gathering and validating project data.
• Maintain project information across internal, client, and partner systems.
• Identify data inconsistencies, risks, and emerging issues, escalating them as necessary.
• Manage communication, documentation, correspondence, and updates among project stakeholders.
• Foster and sustain relationships with both internal and external stakeholders.
• Execute other reasonable duties as assigned.
• 1-3+ years of experience in project coordination, project administration, operations coordination, or a similar position.
• Background in supporting projects, programs, or operational teams in a coordination or administrative role.
• Familiarity with the project lifecycle and fundamental project management controls.
• Experience in maintaining project trackers, schedules, logs, and reports.
• Exposure to governance, compliance, or assurance activities.
• Exceptional organizational skills with the capability to manage multiple tasks and deadlines concurrently.
• Keen attention to detail and accuracy.
• Strong written and verbal communication abilities.
• Good stakeholder and client engagement skills, with a solutions-oriented mindset.
• Capacity to learn and implement new processes and technologies.
• Proficient in Microsoft Office, especially Word, Excel, and PowerPoint.
• Fluent in English.
