This is a fully remote position, open to applicants in United States.
• Deliver high-level administrative assistance to operations, administration, and management for commercial real estate initiatives.
• Aid in the daily operations and administrative tasks of the program.
• Support project management efforts concerning budgets, schedules, procurement, quality, and risk for commercial real estate projects.
• Oversee program documentation, records, correspondence, and project files.
• Ensure the integrity of project data and the accuracy, timeliness, and coordination of documentation.
• Organize meetings, workshops, briefings, stakeholder engagements, and site visits.
• Prepare meeting agendas, document minutes, and track action items to completion.
• Assist in onboarding new team members and managing distribution lists.
• Monitor project progress against goals, objectives, budgets, and timelines; report status and discrepancies.
• Help develop action plans to achieve objectives, budget, and schedule.
• Collaborate with program controls disciplines, program delivery, and the Delivery Director.
• Create and coordinate delivery schedules.
• Facilitate communication across various projects and program domains.
• Assist in preparing executive presentations and briefing materials.
• Maintain program repositories, document libraries, and records management systems.
• Ensure version control while coordinating document reviews, approvals, and distribution.
• Support compliance with documentation standards, governance procedures, and relevant SOX controls.
• Exemplify and promote the company's RISE values.
• Perform additional duties as assigned.
• Candidates must currently possess authorization to work in the United States without requiring visa sponsorship now or in the future.
• A Bachelor's Degree is preferred, along with 2+ years of relevant experience.
• Minimum of 2 years of experience in construction project management is required.
• Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, Outlook, and Teams is essential.
• Experience with Kahua is advantageous.
• Background in preparing reports, meeting minutes, and executive-level presentations is necessary.
• Ability to manage multiple priorities independently is crucial.
• Previous experience in AEC is preferred, particularly in construction project management, as an owner's representative, or in project management for commercial projects.
• Familiarity with project management methodologies and best practices is required.
• Capability to read and interpret architectural drawings is necessary.
• Knowledge of leases, contracts, and construction practices is beneficial.
• Understanding of existing procedures and standards to address moderately complex issues is important.
• Ability to analyze potential solutions using technical expertise and make sound judgments based on precedents.
• Strong interpersonal skills coupled with a curious mindset are essential.
