This is a fully remote position, open to applicants in New York.
• Review client contract documentation and establish projects within the project accounting system.
• Ensure projects are set up accurately and promptly in compliance with contract terms and corporate standards.
• Oversee the entire invoicing process, which includes creating, amending, posting, and archiving invoice packets.
• Prepare invoices for engineering and architectural projects valued in the millions.
• Process and facilitate payments for subconsultant and subcontractor invoices.
• Monitor and manage change orders effectively.
• Collaborate with project managers to track deadlines and milestones, aligning billing with project advancement.
• Implement lump sum and time-and-materials billing techniques.
• Analyze work-in-progress and accounts receivable data.
• Carry out project closeout procedures, complex reconciliations, and final billing activities.
• Investigate and address inquiries, both internal and external, regarding project financials and invoices.
• Act as an audit liaison by supplying necessary documentation, explanations, and analysis.
• Assist in the implementation, testing, and ongoing enhancement of departmental software and tools.
• Serve as a subject matter expert, guiding colleagues on project accounting systems and best practices.
• Collaborate with IT on system maintenance and troubleshooting tasks.
• Utilize advanced Excel functions for project analysis and reporting purposes.
• Keep organized records of invoices, change orders, and project financials.
• A minimum of 1 year of project billing experience in an engineering or architectural firm with revenues exceeding $75 million.
• At least 1 year of experience in creating invoices for projects worth millions.
• Over 1 year of experience in managing and billing change orders.
• At least 1 year of collaboration with project managers to monitor deadlines and milestones.
• Practical billing experience in an engineering or architectural firm environment.
• Strong knowledge of lump sum and time-and-materials billing methods.
• Proficiency in Deltek Vantagepoint, Deltek Vision, or BST project accounting systems.
• Advanced skills in Excel, including pivot tables, VLOOKUP, SUMIF, and INDEX MATCH.
• Experience in preparing invoices for projects in engineering or architectural firms.
• Familiarity with project analysis, work-in-progress reporting, project closeout procedures, and managing subconsultant and subcontractor invoices.
• Ability to accurately interpret contract terms and apply them to project setup and billing.
• Strong analytical and problem-solving skills for complex reconciliations and financial inquiries.
• Effective communication skills for collaboration with project managers, internal stakeholders, and external clients.
• High attention to detail and accuracy in financial data entry, invoice preparation, and documentation management.
• An Associate or Bachelor’s degree in accounting, finance, or a business-related discipline.
• Experience with macros in Excel.
• Understanding of work-in-progress analysis and accounts receivable management in a project-oriented environment.
• Experience serving as a liaison during audits and providing necessary financial documentation and explanations.
• Background in supporting the implementation and testing of new accounting or project management software.
• Capability to act as a subject matter expert for project accounting systems and processes.
• Comfort in handling complex, multi-million dollar projects and high-volume billing.
