This is a fully remote position, open to applicants in United States.
• Take ownership of the complete executive and leadership operating rhythms, encompassing agendas, preparatory materials, decision documentation, action items, and follow-up.
• Convert leadership discussions into decisions, assigned owners, deadlines, and quantifiable next steps.
• Ensure commitments are fulfilled across teams while identifying risks to deadlines.
• Create executive briefing documents, All Hands presentations, operational board materials, and regular leadership reports.
• Develop and sustain reporting in Google Sheets and Excel, accompanied by written commentary.
• Collaborate with designated executives and gain expertise in their business areas, priorities, objectives, and performance metrics.
• Equip leaders for significant meetings by anticipating inquiries and clarifying required decisions.
• Distill intricate cross-functional information for executive audiences.
• Identify risks, dependencies, opportunities, and commitments that may be falling behind.
• Foster understanding across Prompt’s business functions and organizational relationships.
• Serve as a proxy for executives in designated forums, providing reports on outcomes and subsequent steps.
• Manage high-priority executive initiatives from planning through to execution.
• Develop plans, milestones, risk assessments, stakeholder communications, decisions, and desired outcomes.
• Drive initiatives across teams without possessing formal authority.
• Cultivate stakeholder alignment and accountability.
• Adapt to various processes, people, technical, and systems-oriented projects.
• Offer strategic calendar assistance as required.
• Arrange complex travel, leadership meetings, and event logistics.
• Assist with expense management, vendor coordination, and operational requirements.
• Manage sensitive and confidential information with sound judgment and discretion.
• Support Prompt’s healthcare software in enhancing rehab therapy practices to operate more efficiently, allowing clinicians to focus on patient care.
• Minimum of 5 years of experience in a fast-paced B2B SaaS setting, preferably in business operations, executive operations, program/project management, Chief of Staff roles, or strategic executive support.
• Proven track record of overseeing an executive or leadership operating rhythm from inception to completion.
• Demonstrated capacity to drive complex, cross-functional programs to successful completion without formal authority.
• Strong business acumen coupled with intellectual curiosity.
• Exceptional written communication and synthesis abilities tailored for executive audiences.
• Capability to distill complex or ambiguous discussions into clear, actionable plans and documentation.
• Advanced expertise in Google Sheets and Excel, including data interpretation and communication of findings.
• Strong judgment and unwavering discretion concerning confidential or sensitive materials.
• Comfort in engaging with senior leaders and acting as a designated proxy.
• Aptitude for functioning effectively amid ambiguity, creating structure, processes, and playbooks.
• Experience in healthcare or health technology, especially with EMR, revenue cycle management, or payer operations, is highly advantageous.
• Background in supporting board or investor reporting cycles is a significant plus.
• Familiarity with modern AI tools is an added advantage.
• Experience in a distributed or rapidly scaling organization is a strong plus.
• Exposure to business intelligence tools or SQL is a significant plus.
