This is a fully remote position, open to applicants in District of Columbia, +1 more state.
• Deliver daily operational support for an early-career and internship acquisition program catering to approximately 10 to 25 participants.
• Organize participant pre-arrival and onboarding processes, including communications, checklists, orientations, guidance, materials, access dependencies, and follow-up procedures.
• Maintain participant rosters, baseline records, progress documentation, calendars, templates, procedures, contact lists, learning records, action logs, and transition materials.
• Create communication channels, address routine inquiries, disseminate announcements and reminders, and direct policy or personnel questions to authorized Government officials.
• Coordinate cohort meetings, orientations, workshops, speaker sessions, leadership engagements, peer-learning events, networking opportunities, mission briefings, capstone activities, and communities of practice.
• Oversee invitations, registration, attendance, materials, logistics, meeting notes, action items, follow-up communications, and event records.
• Assist with Individual Development Plans and developmental roadmaps that encompass learning, assignments, mentoring, rotations, competencies, career and certification milestones, goals, and target dates.
• Facilitate mentor and mentee onboarding, matching support, meetings, engagement tracking, surveys, feedback, and follow-up actions.
• Support rotational and developmental assignments by coordinating objectives, schedules, stakeholders, communications, feedback, completion evidence, and outcome records.
• Implement approved status criteria to identify participants who are on track, at risk, or behind; document information and escalate concerns as necessary.
• Administer surveys, compile responses, identify recurring themes, and contribute to participant-experience enhancements.
• Validate program data, rectify discrepancies, maintain version history, and provide inputs for dashboards and reports.
• Prepare status updates, participant summaries, meeting materials, inputs for monthly reports, milestone and risk reports, survey summaries, briefing content, and quarterly/annual review documentation.
• Monitor commitments, deliverables, decisions, risks, issues, dependencies, and milestones; follow up and escalate concerns as needed.
• Safeguard applicant and employee information while adhering to federal privacy, information-security, records-management, system-access, and Section 508 requirements.
• Meet designated service levels for participant and stakeholder responses, record updates, escalations, data corrections, and meeting documentation.
• Minimum of 3 years of professional experience in program coordination, participant services, cohort management, workforce development, training administration, internship or fellowship support, employee development, or a related field.
• Bachelor’s degree in public administration, human resources, business, education, communications, organizational development, or a related field; equivalent relevant experience may be considered.
• Experience in coordinating onboarding, orientations, meetings, events, learning activities, or participant programs involving multiple stakeholders and deadlines.
• Proven track record in maintaining rosters, schedules, participant records, milestone trackers, action logs, survey data, status reports, or similar operational records.
• Strong organizational skills and follow-through capabilities, including managing concurrent activities, adapting to changing priorities, dependencies, and time-sensitive participant needs.
• Exceptional written and verbal communication skills, along with professional judgment, attention to detail, and a service-oriented approach.
• Ability to identify and escalate risks without making decisions designated for Government supervisors, human resources officials, or program leadership.
• Proficient in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint or equivalent platforms.
• Familiarity with learning management systems, CRM, applicant-tracking systems, survey platforms, event-management tools, dashboards, or similar program technologies.
• Capability to manage participant, applicant, employee, and program information with discretion while complying with privacy, security, accessibility, records, and system-access requirements.
• Ability to meet applicable federal suitability, onboarding, confidentiality, and information-handling standards.
• Must reside in the contiguous United States and be available for occasional travel to Washington, DC and other locations as needed.
