This is a fully remote position, open to applicants in Florida.
• Oversee the planning and implementation of various live, virtual, and hybrid oncology education initiatives.
• Create and uphold program timelines, task lists, budgets, and key deliverables.
• Execute attendee recruitment and targeted outreach to meet registration and attendance objectives.
• Act as the main point of contact for faculty, vendors, venues, partners, and other stakeholders.
• Organize faculty invitations, scheduling, travel, accommodations, meeting materials, and on-site requirements.
• Manage venue logistics, including food and beverage, audiovisual needs, room arrangement, signage, shipping, registration, and operational details.
• Collaborate with Sales, Marketing, Accreditation, and Finance departments.
• Monitor program expenses, invoices, and budget activities.
• Schedule and lead planning calls, internal check-ins, and post-program reviews.
• Provide on-site event management and resolve issues as they arise.
• Anticipate potential challenges and proactively develop solutions.
• Maintain precise program records, documentation, and tracking systems.
• Support medical education, accreditation, and industry compliance needs.
• Enhance internal processes, program execution, and the overall attendee experience.
• Assist with additional programs, initiatives, and special projects.
• Bachelor’s degree or equivalent relevant professional experience.
• At least 3 years of experience in meeting planning, conference management, event operations, medical education, hospitality, or a related field.
• Experience in healthcare or medical education is preferred.
• Outstanding organizational skills with a keen eye for detail and follow-through.
• Ability to independently manage multiple programs, deadlines, and competing priorities.
• Excellent written and verbal communication abilities.
• Strong problem-solving and critical-thinking capabilities.
• Proficiency in Microsoft Office.
• Familiarity with event management, project management, registration, or CRM platforms is advantageous.
• Strong interpersonal and customer service skills.
• Ability to work autonomously and as part of a remote, cross-functional team.
• Strong sense of ownership and accountability.
• Willingness to travel up to 50% of the time, including frequent weekend travel and occasional early-morning or evening event responsibilities.
