This is a fully remote position, open to applicants in New York.
• Execute intricate secretarial and administrative tasks to support clinical, educational, and academic programs.
• Prepare clinics, oversee providers' schedules and calendars, enhance provider-patient scheduling, coordinate patient care, and assist with information/data requirements.
• Act as the primary liaison for providers, managing calendars, appointments, meetings, documentation, and information flow.
• Identify missing orders, collect referral and prior authorization details, and coordinate necessary follow-up actions.
• Draft correspondence, appeals for denied claims, and factual communications; secure provider signatures.
• Organize travel arrangements, conference registrations, and hotel accommodations.
• Facilitate invited lectures and speaking engagements with various organizations and hospitals.
• Conduct research on hospital medical records for physicians, insurance companies, and attorneys.
• Determine and negotiate the scheduling and order of daily surgeries and ambulatory procedures.
• Collaborate with Operating Room scheduling and Ambulatory Surgical Center personnel; authorize overbooking and rescheduling as per established protocols.
• Order and confirm the availability of surgical/procedure equipment, devices, and medications.
• Ensure that surgical/procedure specifics, materials, locations, pre-operative testing, evaluations, patient education, and follow-up are thoroughly completed.
• Complete disability paperwork utilizing information from electronic medical records.
• Evaluate and prioritize patient calls, obtain responses from providers, and follow up with patients.
• Act as the primary point of contact for patients before and after surgical procedures.
• Carry out additional responsibilities as assigned.
• High School diploma and 2 years of relevant experience are mandatory.
• An equivalent combination of education and experience will be considered.
• Familiarity with Medical Terminology is preferred.
• Experience with surgical/appointment scheduling software (such as Flowcast) is preferred.
• Proficiency with electronic medical records is preferred.
