This is a fully remote position, open to applicants in Philippines.
• Act as the main point of contact for designated clients throughout their treatment and demand preparation process.
• Ensure records are accurate, complete, and up-to-date in the firm's case management system.
• Track the progress of medical treatments and conduct regular follow-ups with clients.
• Compose clear, convincing, and well-supported settlement demands.
• Verify that all treatment is completed prior to submission.
• Submit finalized demands to insurance carriers; negotiation authority is not included.
• Maintain proactive communication with clients every 7–10 business days.
• Respond to client calls, emails, and messages in a timely manner.
• Clarify treatment expectations and documentation requirements.
• Recognize potential Medicare involvement and inform the supervising attorney.
• Record lien-related findings in case files accurately.
• Document case activities and client communications thoroughly.
• Ensure adherence to HIPAA and state privacy regulations.
• Assist attorneys by enhancing communication, optimizing case management, and improving client satisfaction.
• Direct prior experience managing US personal injury pre-litigation workflows (Stages 1–2), which includes retrieving medical records, collecting billing, and drafting demand packages.
• Excellent written and verbal English skills, with clear pronunciation and strong phone etiquette for client interactions and provider follow-ups.
• Proven ability and reliable setup to consistently work during US Eastern Time hours (9:00 AM – 5:00 PM ET) without attendance conflicts.
• Practical experience or demonstrated technical proficiency in using legal CRM systems (Smart Advocate preferred) and VOIP/phone software (RingCentral preferred).
• Initiative to manage a task queue independently without daily oversight.
• Friendly, courteous, and reassuring phone demeanor when assisting clients undergoing medical treatment.
• Exceptional attention to detail when organizing medical records, itemized bills, damage documentation, and structured notes.
• Capability to adapt to remote desktop environments, digital fax systems, Outlook calendaring, and integrated telephony tools.
• Commitment to confidentiality, HIPAA compliance, data protection, and understanding legal boundaries; never providing legal advice.
• Computer must have a minimum of 8GB RAM and an Intel i5/AMD Ryzen 5 processor or higher.
• Internet speed should be at least 40MBPS.
• Noise-cancelling headset with a long microphone and webcam is required.
• Backup computer and internet connection must be available.
• A quiet, dedicated workspace at home is essential.
• Ability to work full-time, Monday through Friday, from 9:00 AM to 5:00 PM ET.
