This is a fully remote position, open to applicants in South Africa.
• Open, organize, and maintain client and matter files across case management systems.
• Draft, proofread, and format correspondence and routine corporate documents for attorney review.
• Prepare and maintain corporate minute books, cap tables, and entity records.
• Track filing deadlines, closing schedules, and corporate compliance dates.
• Create calendar invites and audit attorney calendars for conflicts and gaps.
• Coordinate document execution through e-signature platforms and manage signature pages and closing sets.
• Run document comparisons/redlines and flag inconsistencies or open issues.
• Document meeting notes and action items and maintain the task management system.
• Maintain accurate case/matter management database records.
• Perform physical and electronic filing and recordkeeping.
• Prepare and issue client invoices and follow up on outstanding balances.
• Share documents securely with clients and outside counsel.
• Serve as the client-facing contact for routine file, scheduling, and document requests.
• Answer and direct phone calls.
• Conduct brief intake on prospective clients and matters.
• Coordinate mail, packages, courier services, and incoming mail.
• Organize electronic files according to firm naming conventions.
• Enter expenses and support billing and timekeeping.
• Manage attorney calendars and coordinate travel arrangements.
• Provide administrative backup, data entry, filing, and paperwork support.
• Maintain confidentiality of legal documentation and correspondence.
• Improve administrative workflows and manage records retention.
• Minimum of 3 years of experience supporting a business or corporate attorney at a U.S. law firm, in-house legal department, or similar setting.
• Working familiarity with corporate governance documents and terminology, including operating agreements, bylaws, resolutions, stock/membership certificates, and formation and qualification filings.
• Excellent attention to detail and accuracy in proofreading and reviewing legal and corporate documents.
• Outstanding organizational and time management skills, with the ability to manage multiple deadlines independently.
• Strong analytical and problem-solving abilities, along with sound judgment regarding escalation.
• Exceptional written and verbal communication skills; fluent in English.
• Excellent interpersonal and client-service abilities.
• Capability to work independently in a fast-paced, deadline-driven environment.
• Familiarity with law firm operations and the legal environment.
• Proficiency in Microsoft Office, including Word, Excel, Teams, OneDrive, and Planner, as well as Google Workspace.
• Experience with document comparison/redlining tools such as Word Compare, Workshare, or Litera.
• Familiarity with e-signature platforms like DocuSign.
• Comfort with basic bookkeeping, invoicing, and follow-up on collections.
• Familiarity with Clio and Adobe PDF.
• Working knowledge of legal billing and timekeeping practices.
• Ability to conduct basic legal and business research.
• Availability to work full-time during core business hours of 9:00 a.m.–5:00 p.m. CST.
• Reliable home office setup and equipment.
• Preferred: experience supporting multiple attorneys concurrently, corporate compliance management software, QuickBooks, healthcare/wellness or regulated-industry legal practice, Canva, and Go High Level.
