People Operations Coordinator – Mental Health Care

This is a fully remote position, open to applicants in Philippines, +4 more countries.

📋 Description

• Address HR and operational inquiries from over 100 clinicians and staff regarding PTO, payroll, and benefits.

• Escalate intricate payroll and benefits concerns to specialized teams and ensure follow-up until resolution.

• Deliver updates to groups of 30–40 clinicians during virtual meetings.

• Assist clinicians with scheduling logistics and administrative inquiries.

• Oversee clinician onboarding across various US states, each with unique licensing and credentialing requirements.

• Develop and sustain state-specific onboarding standard operating procedures (SOPs) and checklists.

• Train new employees on internal systems, the EHR platform, and collaboration tools within their first 30 days.

• Manage offboarding processes and documentation for departing clinicians.

• Monitor state-mandated compliance steps, including fingerprinting and live scans.

• Aid in the credentialing of clinicians with insurance payers on a state-by-state basis.

• Maintain records in compliance with HIPAA data handling regulations and state mental health laws.

• Conduct second-round interviews for senior operations and leadership positions.

• Clarify internal workflows, tools, and team structure to senior candidates.

• Retain proficiency in the internal CRM system and the new EHR platform.

• Collaborate daily with credentialing, revenue cycle, legal, and client coordinator teams.

⛳️ Requirements

• Minimum of 5 years of professional experience, with recent roles in HR coordination, people operations, or employee support.

• Proficient understanding of US payroll, PTO, and benefits structures, including managing and escalating employee inquiries.

• Practical experience using at least one CRM or project management platform, such as HubSpot, Zoho, Salesforce, Monday.com, or BambooHR.

• Background in coordinating employee onboarding and offboarding processes, including document and compliance tracking.

• Experience in delivering updates or conducting training sessions for groups of over 30 individuals.

• Proficient in English at C1+ CEFR level.

• Reliable internet connection with a backup option or alternative work location.

• Background in mental health, therapy, or medical practice operations is preferred.

• Familiarity with an EHR or practice management platform like SimplePractice or TherapyNotes is preferred.

• Exposure to HIPAA, insurance payer credentialing, or state licensing requirements is preferred.

• Experience onboarding employees across multiple states, countries, or locations is preferred.

• Familiarity with a US HRIS such as Gusto or Rippling is preferred.
