Payroll & HR Operations Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the complete payroll processes in collaboration with the PEO partner.

• Manage the HRIS, ensuring accurate employee records, performing data entry, auditing data integrity, and system configuration.

• Assist employees with inquiries related to payroll, timekeeping, tax withholding, and fundamental HR operations.

• Guarantee adherence to federal, state, and local payroll regulations and labor laws.

• Produce HR metrics, payroll summaries, and operational reports.

• Identify and resolve workflow bottlenecks in onboarding, offboarding, and timekeeping processes.

• Develop and implement Standard Operating Procedures (SOPs) to minimize manual data entry and errors.

• Spearhead the transition from the PEO and establish an in-house payroll model by January 1, 2028.

• Assess, select, and support the implementation of payroll and benefits platforms.

• Create workflows, controls, SOPs, and tax/registration setups across relevant jurisdictions.

• Manage change through training for managers and staff on new timekeeping and self-service systems.


⛳️ Requirements

• 3–5+ years of experience in payroll and HR operations.

• Demonstrated hands-on experience successfully transitioning an organization from a PEO to an independent, self-sufficient payroll system.

• Advanced proficiency in HRIS/payroll platforms (e.g., ADP, Rippling, Workday, Gusto).

• Strong Excel competencies, including VLOOKUPs, pivot tables, and data audits.

• Thorough understanding of federal, multi-state, and local tax, wage, and labor regulations.

• Exceptional analytical and project management abilities.

• High level of attention to detail.

• Capacity to explain complex payroll and benefits topics to employees with clarity and empathy.

• Proactive and consistent execution with a focus on detail-oriented quality and efficiency.
