Payment Specialist

This is a fully remote position, open to applicants in Canada.

📋 Description

• Oversee and implement site payments in accordance with Clinical Trial Agreements and specific site staff agreements.

• Administer and facilitate participant payments while adhering to regulatory standards and client policies.

• Accurately document payment transactions and updates in the appropriate electronic systems.

• Prepare and submit payment requests in the Smart Grant system as per designated timelines.

• Generate Purchase Orders based on agreed contract values, collaborating with Budget & Contract Specialists and Trial Managers.

• Establish new suppliers for recently engaged site staff involved in clinical trials.

• Monitor and track payment statuses, identify and address issues, and report any discrepancies.

• Design and implement site payment optimization processes in collaboration with stakeholders, external HCPs and HCOs, local departments, and CDC Teams.

• Liaise with Budget & Contract Specialists, Study Start-up Specialists, Trial Managers, Legal, and Finance Teams.

• Manage financial correspondence related to site payment procedures.

• Communicate with sites and clinical teams regarding the status of payments and address inquiries or updates.

• Serve as a subject matter expert on site payment processes and inquiries.

• Ensure the high-quality execution of clinical trial payment activities in compliance with ICH-GCP, regulatory standards, and internal SOPs.


⛳️ Requirements

• 1-3 years of experience in clinical studies, pharma/biotech, or financial operations, preferably with global exposure.

• A Bachelor’s degree in finance, accounting, business, science, or a related field is required.

• Proven experience managing payments within clinical research or pharmaceutical environments.

• Strong understanding of clinical trial payments and familiarity with investigator contracts.

• Solid business acumen and comprehension of business operations, financial drivers, and market dynamics.

• Excellent interpersonal and communication skills, promoting collaboration across matrixed and cross-functional teams.

• A proactive and accountable approach to identifying issues, resolving them, and pursuing continuous improvement.

• Demonstrated ability to manage conflicts and deliver solution-oriented outcomes with both internal and external stakeholders.

• Exceptional organizational and analytical skills, capable of managing multiple priorities in a fast-paced environment.

• Strong attention to detail while maintaining a comprehensive overview and ensuring overall quality.

• Proven ability to ensure the high-quality execution of payment activities in compliance with ICH-GCP, regulatory standards, and company policies.

• Technical proficiency in using electronic payment systems and related digital tools.

• Legal authorization to work in the country where the position is based.
