This is a fully remote position, open to applicants in Texas.
• Manage a daily queue of clinic payment requests, ensuring each invoice line corresponds to the pet's plan benefits, remaining quantities, and cap prices.
• Review each request prior to payment: verify the plan term against the invoice date, pet and species, benefits previously utilized, taxes, and the amount already settled by the client at the clinic.
• Investigate and identify exceptions, including charges that exceed their cap, invoices that fall outside the plan term, depleted benefits, unclear line descriptions, and $0 inventory lines.
• Communicate with clinics via phone and email to clarify invoices, explain coverage decisions, and inform them when a request cannot be processed, including the reasons.
• Allocate limited benefits efficiently to ensure pet owners receive the maximum coverage permitted by their plan, while maintaining clear notes for each decision made.
• Monitor and report recurring errors categorized by clinic and charge type to Clinic Success to prevent the same issues from reoccurring.
• Minimum of 1 year of experience in claims processing, medical or veterinary billing, accounts payable, or a similar role involving invoice accuracy review.
• Exceptional attention to detail and a keen eye for numbers: you meticulously check totals, identify minor discrepancies, and can articulate precisely how you arrived at a figure.
• Proficient in working with spreadsheets and back-office systems, including skills in filtering, performing lookups, and reconciling mismatched sources.
• Excellent, friendly communication skills, both over the phone and in writing, specifically when delivering unfavorable news to clinic staff.
• Sound judgment regarding when a request is ready for payment and when further clarification is necessary.
• Consistent, independent work habits that facilitate maintaining a steady queue while working remotely.
• Experience in a veterinary clinic or familiarity with practice management systems like ezyVet, Cornerstone, or AVImark is advantageous.
• Experience with pet wellness plans, pet insurance claims, or health insurance claims adjudication is a plus.
• Background in a startup or growing team where you assisted in developing processes while managing them is a plus.
• Must reside in Texas or Georgia.
• Willingness to travel quarterly.
• Must live near an airport.
• Fast-growing, venture capital-backed technology company.
• Opportunity to make a significant impact from Day 1, where your input and opinions are valued.
• Unlimited potential for career growth, learning, and skill enhancement.
• Collaborative, flexible, and friendly workplace culture.
• Medical, dental, and vision benefits starting on Day 1.
• Flexible time off plus 11 Snout calendar holidays.
• Paid parental leave.
