This is a fully remote position, open to applicants in India.
• Oversee travel logistics or reimbursement processing for patients involved in designated clinical trial projects.
• Work in conjunction with PCS Project Managers, the Patient Concierge Services Manager, and internal teams to comprehend study requirements and execute patient support services.
• Assist with the setup of new projects, including the creation of mailboxes, portal access, SharePoint folders, and documentation specific to the study.
• Examine and confirm patient enrollment data and authorize patient access to digital platforms such as PatientGO®.
• Act as the main point of contact for patient inquiries through applications, email, or telephone.
• Organize bookings for flights, trains, accommodations, and ground transportation.
• Review and validate patient reimbursement requests in accordance with study-specific Travel & Reimbursement Policies.
• Approve, decline, or escalate reimbursement and stipend requests.
• Communicate with patients and caregivers about logistics, reimbursement status, and any concerns.
• Coordinate with clinical sites regarding reimbursement matters and patient travel logistics.
• Process patient payments, stipends, and travel confirmations efficiently.
• Manage the distribution and tracking of patient payment cards.
• Ensure accurate patient information, visit records, and service logs are maintained in real-time.
• Assist patients with reimbursement submissions as needed.
• Identify operational shortcomings and aid in enhancing services and internal initiatives.
• Provide data and updates for monthly financial reporting purposes.
• Ensure adherence to confidentiality, Good Clinical Practice (GCP), data protection regulations, and company Standard Operating Procedures (SOPs).
• Participate in client meetings, site initiation visits, and investigator meetings upon request.
• Stay updated on tools, technologies, and processes related to patient travel and reimbursement coordination.
• Contribute to internal team projects and initiatives.
• Equivalent experience, skills, and/or education will also be taken into account.
• Commitment to strict patient confidentiality and compliance with Good Clinical Practice (GCP), data protection regulations, and company SOPs.
• Capability to manage travel logistics or reimbursement processing for patients in assigned clinical trial projects.
• Skill to collaborate effectively with project managers, the Patient Concierge Services Manager, and internal teams.
• Proficiency in using approved systems, travel providers, digital platforms, vendor platforms, and tools related to patient travel and reimbursement coordination.
• Ability to communicate effectively with patients, caregivers, and clinical sites.
• Competence in maintaining accurate patient information, visit records, and service logs.
• Capability to support financial tracking and monthly reporting.
