Patient Booking Specialist – Medical Aesthetics

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee inbound and outbound communications including calls, SMS, emails, and follow-ups within the Go High Level CRM.

• Deliver an outstanding patient experience.

• Arrange appointments in Zenoti, aiming for the soonest available slot within three days whenever feasible.

• Ensure precise, real-time documentation of leads.

• Foster relationships and inform patients about 4Ever Young services.

• Transform inquiries into scheduled appointments utilizing approved call scripts and objection management techniques.

• Reconnect with unconverted leads, missed appointments, and inactive prospects via outbound follow-up.

• Achieve or surpass performance indicators such as booked appointments, conversion rates, speed-to-lead, show rates, call quality, documentation accuracy, and productivity.

• Provide insights for the team playbook and assist in developing, refining, and scaling the national booking operation.

⛳️ Requirements

• Availability for rotating Saturdays is mandatory from the start.

• A minimum of 2 years of experience in a call center, patient scheduling, or high-volume customer contact role where phone communication was the primary focus.

• Experience making over 80 calls per shift in the most recent phone-centric position.

• Proven track record of working towards booking, scheduling, or conversion objectives.

• Capability to manage multiple tasks across calls, texts, emails, CRM documentation, and scheduling while working independently in a fast-paced remote setting.

• Familiarity with CRM or scheduling software such as Go High Level, Zenoti, RingCentral, Salesforce, HubSpot, or similar platforms.

• Must have a dedicated and private home workspace suitable for VoIP communication.

• Internet connection of 100+ Mbps, verified pre-hire via speed.cloudflare.com.

• U.S. work authorization without the need for sponsorship.

• Preferred background in healthcare, dental, chiropractic, aesthetics, or wellness scheduling.

• Experience with Go High Level, Zenoti, or RingCentral (VoIP) is preferred.

• Previous roles where show rates were monitored and managed are advantageous.

• Personal experience as a consumer of aesthetic or wellness services, or background in patient education is preferred.
