This is a fully remote position, open to applicants in United States.
• Receive incoming calls during practice hours and ensure that new patient inquiries are not directed to voicemail.
• Prioritize inquiries from new patients and successfully convert them into scheduled appointments.
• Provide phone support while the doctor and in-office staff attend to patients.
• Communicate with professionalism and empathy to patients, parents, referring dentists, and other stakeholders.
• Schedule and arrange patient appointments efficiently.
• Oversee and maintain the appointment calendar within the Electronic Health Record (EHR) system.
• Accurately enter and update patient information.
• Create letters for new patients, referrals, and other correspondence through the EHR.
• Compose and send professional emails to dentists regarding referrals and practice requirements.
• Follow up on referral-related details and maintain ongoing communication with referring offices.
• Gather and document insurance information during the initial patient interaction.
• Input insurance data into the practice management software.
• Utilize knowledge of orthodontic benefits and coverage effectively.
• Submit insurance claims in accordance with established billing protocols.
• Adhere to practice workflows and billing procedures accurately.
• Required hands-on experience with OrthoEdge.
• Previous experience as a medical, dental, or orthodontic virtual assistant/receptionist is highly preferred.
• Experience in managing incoming patient calls and scheduling appointments.
• Familiarity with orthodontic insurance and billing practices is essential.
• Excellent written and verbal communication skills in English.
• Outstanding customer service skills and phone etiquette.
• Strong attention to detail and accuracy in data entry.
• Comfortable working autonomously in a remote setting.
• Minimum internet speed of 50 Mbps for both upload and download is required.
• A verified backup internet connection is mandatory; mobile hotspots are not acceptable.
• A backup power source, like a UPS or generator, is necessary.
• A quiet and professional workspace suitable for voice communications is required.
• A noise-canceling headset is mandatory.
• A reliable computer that can run software systems and softphone applications simultaneously is essential.
• Windows 11 or the latest version of the Apple operating system is required.
• Ability to multitask and prioritize new patient calls and appointment scheduling opportunities.
