Operations Manager

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Take full responsibility for the entire order lifecycle, starting from the receipt of customer purchase orders through to shipment, delivery, invoicing, and resolving any issues.

• Process customer purchase orders while managing inventory allocation and fulfillment.

• Collaborate with distributors, retailers, warehouses, manufacturers, and logistics providers.

• Oversee EDI orders and address issues such as shortages, shipment discrepancies, deductions, late deliveries, and more.

• Coordinate parcel, LTL, and FTL shipments efficiently.

• Obtain and assess freight quotes, and manage shipping documentation including BOLs, routing requirements, and delivery appointments.

• Monitor shipments and proactively resolve delays or exceptions.

• Manage inventory for finished goods, ingredients, raw materials, and packaging.

• Maintain optimal inventory levels, reorder points, inventory forecasts, and demand forecasts.

• Coordinate production runs while supervising production schedules.

• Procure materials and oversee supplier purchase orders.

• Negotiate pricing, payment terms, minimum order quantities (MOQs), lead times, and other commercial agreements.

• Cultivate vendor relationships and enhance vendor performance and cost efficiency.

• Develop forecasts for sales, demand, inventory, production, and cash needs.

• Analyze costs of goods sold (COGS), landed costs, gross margins, freight costs, promotional expenses, distributor margins, and retailer margins.

• Construct pricing and margin models while providing management reporting.

• Assist with bookkeeping, bill entry, reconciliations, and accounts payable/accounts receivable (AP/AR).

• Utilize QuickBooks to support financial operations.

• Employ AI tools like Claude, ChatGPT, and others daily for analysis, workflow automation, research, standard operating procedures (SOPs), and productivity enhancement.

• Identify and automate repetitive tasks to improve operational systems.

• Maintain proficiency in Google Sheets, Gmail, Google Workspace, QuickBooks, Salesforce, and EDI systems.

• Ensure compliance with food safety and quality documentation, maintaining Certificates of Analysis (COAs), product specifications, and ingredient records.

• Aid in lot tracking, monitoring expiration dates, traceability, recall readiness, and compliance with FDA, retailer, distributor, and food safety regulations.

⛳️ Requirements

• A minimum of 5 years of relevant experience in operations, supply chain, logistics, procurement, or a related field.

• Solid understanding of accounting and financial principles, including COGS, margins, profit and loss (P&L), and cash flow management.

• Proven experience in managing purchase orders, inventory, procurement, production planning, and logistics.

• Experience working with freight carriers, warehouses, manufacturers, suppliers, and other external vendors.

• Strong forecasting skills with the ability to build and maintain operational and financial models.

• Demonstrated proficiency in using AI tools such as Claude and ChatGPT as integral parts of daily tasks.

• Advanced skills in Google Sheets and spreadsheets, including handling large datasets, formulas, lookups, pivot tables, financial models, and operational reporting.

• Highly tech-savvy with the capacity to quickly learn new systems.

• Exceptional written communication skills with a proactive approach to follow-up.

• Highly organized, capable of managing a large volume of emails, tasks, deadlines, and competing priorities.

• Comfortable with decision-making and taking full ownership of outcomes.

• Experience in the food, beverage, CPG, or consumer products sector is a plus.

• Familiarity with QuickBooks is advantageous.

• Knowledge of inventory management systems, retailer portals, distributor portals, 3PL systems, and shipping platforms is beneficial.

• Experience with managing EDI orders is a plus.

• Background in a fast-paced or early-stage consumer brand environment is a bonus.
