This is a fully remote position, open to applicants in Arizona, +4 more states.
• Develop, set up, launch, and oversee customer campaigns using Instantly and SmartReach.
• Handle multiple customer campaigns concurrently, including sending accounts, inboxes, and sequences.
• Upload, map, validate, and conduct QA on prospect lists prior to campaign launches.
• Set up sending schedules, daily limits, inbox rotation, reply routing, sequences, and campaign configurations.
• Oversee campaigns aimed at reactivating existing customer relationships and engaging newly sourced prospects.
• Conduct pre-launch QA of audiences, messaging, sending accounts, exclusions, and settings.
• Maintain campaign calendars and ensure launches adhere to agreed timelines.
• Manage lookalike sending accounts and domains to protect customers' primary email domains.
• Coordinate and supervise inbox warm-up, sending ramp-up, and daily sending volumes.
• Track sender reputation, bounce rates, spam signals, unsubscribes, and deliverability metrics.
• Troubleshoot connection issues, reply routing, campaign configurations, and platform challenges.
• Collaborate with Microsoft 365 and Google Workspace sending environments.
• Detect deliverability issues early and take or suggest corrective measures.
• Prepare campaign audiences in collaboration with Data Science and Account Management teams.
• Validate contact files, pinpoint data-quality concerns, and manage contacts, exclusions, blacklists, and suppression lists.
• Assign contacts to the right loan originator, salesperson, territory, sending account, and campaign.
• Coordinate contact enrichment and data rectification; ensure data hygiene is maintained.
• Transform approved customer messaging into executable campaign sequences.
• QA AI-generated and personalized outreach, including personalization fields, variables, and prospect-specific content.
• Monitor ongoing campaigns daily and track sending, delivery, replies, responses, bounces, unsubscribes, and other relevant indicators.
• Identify unusual campaign behavior, escalate concerns, and pause or adjust campaigns as needed.
• Optimize sending volumes, sequencing, timing, and configurations based on performance analysis.
• Ensure customer replies are directed to the appropriate inbox or team member.
• Differentiate significant business responses from automated replies, out-of-office messages, unsubscribes, and other non-actionable responses.
• Provide Account Managers with updates on campaign status and performance metrics.
• Maintain reports on contacts uploaded, contacts reached, sending volumes, replies, significant responses, and agreed-upon KPIs.
• Highlight campaign risks, delays, dependencies, and obstacles.
• Document campaign setups, modifications, issues, and solutions.
• Assist in campaign performance reviews and identify areas for improvement.
• Collaborate with Account Management to ensure execution aligns with customer expectations and commitments.
• Practical experience in managing outbound email campaigns.
• Direct experience with Instantly and SmartReach is mandatory.
• Strong comprehension of email deliverability, domain reputation, inbox warm-up, sending limits, bounce management, and sender health.
• Experience in managing multiple sending accounts and inboxes.
• Proficiency in importing and managing large prospect/contact lists.
• Strong skills in Excel/CSV, including filtering, validation, deduplication, and field mapping.
• Ability to independently troubleshoot campaign-platform and email-account configuration challenges.
• Exceptional attention to detail and robust QA practices.
• Capability to manage multiple customers, campaigns, and deadlines concurrently.
• Strong written communication skills and sound judgment regarding outbound messaging.
• Nice to have: experience in financial services, commercial lending, commercial real estate, mortgage, banking, or B2B fintech.
• Nice to have: familiarity with Salesforce, HubSpot, or Microsoft Dynamics 365.
• Nice to have: experience with CRM-integrated outreach.
• Nice to have: experience with AI-generated or highly personalized outbound messaging.
