Operations Manager

This is a fully remote position, open to applicants in Egypt.

📋 Description

• Take charge of the comprehensive onboarding process for new employees across all company locations, collaborating with HR, IT, and Finance.

• Oversee the procurement, preparation, handover, and documentation of equipment for new hires.

• Manage offboarding procedures, which include the recovery of equipment, cancellation of insurance, and handling necessary documentation.

• Administer employee medical insurance enrollments and cancellations in coordination with providers and country representatives.

• Supervise the issuance, renewal, and cancellation of employee visas across the UAE, KSA, Jordan, and Egypt.

• Monitor the expirations of visas, permits, and commercial registrations, initiating renewals in advance of deadlines.

• Manage the company’s commercial licenses and registrations in all operating jurisdictions.

• Ensure adherence to regional labor regulations in the UAE, KSA, Jordan, Egypt, and the US while maintaining audit readiness.

• Review and approve payroll inputs originating from Operations, including expenses, deductions, and reimbursements.

• Ensure that payroll and expense submissions at the country level are accurate and timely.

• Collaborate with HR Payroll to address variances and exceptions originating from Operations.

• Supervise Operations coordinators and support staff in regional offices.

• Oversee office leases, facilities, utilities, maintenance, and vendor contracts.

• Manage travel, accommodation, and transportation arrangements for employees and consultants.

• Administer medical insurance renewals and maintain relationships with providers, including coverage and claims management.

• Monitor budgets for administrative and facilities functions, identifying cost-saving opportunities and addressing variances.

• Document, standardize, and continuously enhance operational processes across different regions.

• Identify gaps in processes, potential workarounds, and opportunities for automation, presenting recommendations to the CPOO.

• Assist with company-wide reporting, compliance audits, and operational assessments.


⛳️ Requirements

• A Bachelor's degree in Business Administration, Operations Management, or a related discipline.

• 7–10 years of experience in multi-country operations, office management, or administrative leadership roles.

• Proven ability to manage a distributed team across various geographies and time zones.

• Practical experience with visa, immigration, and government liaison processes in KSA, UAE, and/or Jordan.

• Experience in managing medical insurance programs and handling vendor contracts.

• Capability to develop and implement operational procedures in environments lacking consistent processes.

• Strong understanding of labor laws and compliance frameworks in KSA, UAE, Jordan, and Egypt.

• Proficiency in MS Office and familiarity with ERP or operational management systems.

• Flexibility to work across various time zones and different working week structures.

• Competence in designing, documenting, and enforcing processes while holding teams accountable.

• Experience managing country-level operations remotely without direct oversight.

• Demonstrated ability to lead teams with varying levels of seniority and expertise.

• Structured and concise executive communication skills, along with sound judgment regarding escalation.

• A service-oriented mindset, independent problem-solving abilities, attention to detail, and meticulous record and deadline management.

• Preferred: experience in IT staffing, systems integration, managed services, or professional services.

• Preferred: experience coordinating payroll inputs across multi-currency and multi-country payroll cycles.

• Preferred: experience overseeing equipment procurement and asset tracking for dispersed consultant teams.

• Preferred: strong English language proficiency for coordination in KSA and UAE.
