This is a fully remote position, open to applicants in Egypt, +4 more countries.
• Make and receive phone calls and text messages to coordinate with families, providers, and vendors.
• Assist families in completing medical or therapy-related forms while accurately gathering required information.
• Provide clear guidance and support to families facing stressful or emotionally sensitive circumstances.
• Reach out to external organizations to collect or verify information and finalize administrative forms.
• Follow up on documentation, pending tasks, and outstanding requests.
• Maintain clear, professional, and compassionate communication.
• Keep organized digital files and documentation using Google Drive or similar platforms.
• Write concise reports or summaries following calls and meetings.
• Assist with data entry, form submissions, and updates to records.
• Ensure that documentation and information remain accurate, organized, and easily accessible.
• Support the scheduling and coordination of sessions, meetings, and events.
• Keep internal systems and records updated and accessible.
• Coordinate administrative activities among families, providers, vendors, and external organizations.
• Identify opportunities to enhance organization and operational efficiency.
• Candidates must reside in LATAM, Africa, or Eastern Europe.
• Availability to work from 9:00 AM to 5:00 PM EST, in alignment with the client’s time zone.
• Over 2 years of experience in administrative, coordination, or operational support roles.
• Experience in managing frequent phone communications with families and external partners.
• Proven ability to handle sensitive information while supporting administrative processes with discretion and care.
• Proficient in Google Workspace.
• Strong organizational and time management abilities.
• Keen attention to detail regarding documentation, forms, records, and data entry.
• Capable of managing frequent phone and text communications.
• Ability to provide clear instructions and support to families.
• Skilled in maintaining accurate and organized digital records.
• Competent in handling confidential information appropriately.
• Strong follow-through skills and the ability to keep open items progressing towards completion.
• Calm, patient, and empathetic demeanor when assisting families.
• Reliable and proactive in managing administrative responsibilities.
• No formal certification is necessary.
• Experience in healthcare, therapy, or education is advantageous.
• Potential to increase from 30 to 40 hours per week as responsibilities grow.
